WE CAN (Women’s Empowerment through Cape Area Networking) was founded in 2001 to empower Cape Cod women by providing unique services that inspire hope and bring increased stability, self-sufficiency, and opportunity to their lives. WE CAN serves more than 1,400 women each year with confidential, free legal services, employment and business support, financial empowerment, mentoring, and personal development programs.
Position Summary
The Development Administrative Assistant position plays a vital role in ensuring smooth, accurate, and timely execution of WE CAN’s fundraising activities. This position supports the Development Team through data management, reporting, and administrative coordination. Key duties include management and oversight of donor database and event software, accurate and confidential donation entry and acknowledgement, and routine data reporting. This is an in-person, on-site position working to support the mission of WE CAN to empower and support women as they strive for stability and self-sufficiency.
Duties and Responsibilities
Database and Donation Management
• Manage all aspects of donation entry and acknowledgement, ensuring timely and accurate donor recognition.
• Perform routine and as needed data imports into database
• Generate weekly donation reports and additional reports as needed
• Conduct regular database clean-up and maintenance to ensure data accuracy and integrity
• Coordinate thank-you calls — assign to staff and volunteers, track completions, and follow up as needed.
• Ensure ethical, confidential, and respectful handling of donor information.
Event Platform Support
• Set up and maintain event campaigns, including registration, guest information, pledge payment tracking, and offline sponsor entry
• Generate relevant reports for staff and committees.
• Create and manage invitations, RSVP tracking, and reminders for events
Reporting and Data Support
• Prepare monthly program data reports for staff and board meetings
• Generate reports as needed for grant applications, appeals, and organizational metrics
• Coordinate imports of new emails to maintain accurate communication lists
General Development Support
• Support the Development Team in managing the annual appeal timeline, including segmenting donor lists
• Research on new grant opportunities and support in reviewing applications and reports
• Prepare and organize work for development volunteers
• Assist with special projects and development initiatives as needed.
Required Skills and Experience
• Mission Alignment: Belief in empowering others and the power of community members helping to support one another.
• Organizational Skills: Strong task-management skill set to coordinate events, fundraising activities, and a communication calendar.
• Detail oriented: Keen eye for details and maintaining accurate information.
• Computer Literacy: Experience and comfort using databases, event software, and Microsoft Office
• Collaboration: Ability to work independently and effectively as part of a team; willingness to support and be supported by colleagues and contribute to a positive work environment.
• Administrative experience preferred
HOURS: Position is part time, 10-12 hours a week split between at least two days with a strong preference for Tuesday availability.
The position has a home base of Harwich Port with some travel between sites as needed. Reliable transportation is required.
