POSITION SUMMARY
The Supervisor, Fixed Site Operations provides daily leadership, coaching, and operational oversight for Donor Services staff at We Are Blood’s fixed site locations. This role is responsible for ensuring safe, efficient, high-quality blood collection operations while upholding organizational standards for service, communication, and regulatory compliance. The Supervisor functions as a subject matter expert in donor qualification, apheresis collections, SOPs, and equipment troubleshooting, and supports staff development through training, performance feedback, and professional growth opportunities. This position collaborates closely with Donor Services Management, Quality Assurance, Clinical Services, Community Engagement, and other internal partners.
ESSENTIAL RESPONSIBILITIES
Personnel Management & Leadership
- Provide daily direction, motivation, and coaching for Donor Services staff.
- Interview and make recommendations for hiring, promotion, demotion, and termination in partnership with HR and Director of Fixed Site Operations.
- Conduct timely performance evaluations and address attendance, behavioral, or performance-related concerns through appropriate counseling.
- Identify training needs, conduct training sessions, and maintain accurate training documentation.
- Review and communicate monthly performance data to drive individual and team goal achievement.
- Foster an environment of teamwork, collaboration, emotional intelligence, and operational excellence.
- Participate in the rotating on-call schedule for staff call-ins.
Subject Matter Expertise – Donor Services
- Maintain full working knowledge of all technical procedures, SOPs, quality requirements, and donor qualification processes for whole blood, red cell, apheresis, and special donations.
- Support staff with donor and patient eligibility determinations as needed.
- Assist Clinical Services with autologous and directed/dedicated donor scheduling and collections.
- Coordinate the procurement of rare or specially requested units in collaboration with Hospital Services and the Laboratory.
- Respond to donor eligibility inquiries submitted through web/email channels during assigned on-call rotations.
- Prepare or assist with donor reentry documentation, deferral updates, and accurate database entry.
- Support troubleshooting and routine maintenance of apheresis equipment.
- Audit and correct discrepancies between manual and computer donor records.
- Provide follow-up on donor reactions and serve as liaison to the Medical Director(s).
Operational & Administrative Management
- Oversee daily operations of fixed site collection areas to ensure safe, compliant, and efficient workflow.
- Ensure all applicable regulations, SOPs, and organizational policies are followed, including timely reporting of Workers’ Compensation exposures or injuries.
- Maintain clear, effective communication with donors, patients, coworkers, community partners, and contracted entities.
- Review, revise, and maintain departmental procedural documents according to established schedules.
- Support preparation and adherence to departmental business plans and budgets; make small operational purchases as needed.
- Monitor inventory, canteen supplies, and operational stock to maintain adequate levels.
- Review daily system reports to ensure regulatory compliance and operational accuracy.
- Collaborate with Mobile Operations, QC Coordinator, and Facilities/Tech teams to maintain equipment validation, repair, and readiness.
- Communicate collection performance to Community Engagement to ensure daily and weekly targets are met.
- Coordinate staffing and operational support across all fixed site locations.
Project & Process Management
- Partner with DS and QA leadership to implement, validate, and monitor new processes, technologies, and procedural updates.
- Draft, revise, and maintain SOPs related to collections and apheresis operations.
- Lead or support investigations and documentation of System Improvement Reports.
- Manage or delegate special projects while balancing multiple priorities with minimal supervision.

QUALIFICATIONS
Education & Experience
- Minimum 3 years recent supervisory experience in a medical setting; blood center experience strongly preferred.
- High school diploma or equivalent required; college degree preferred (may substitute for 1 year of supervisory experience).
- CPR certification required.
- Experience with donor qualification, quality control, and document review preferred.
- Strong written and verbal communication skills, including experience with evaluations, counseling, incident reports, SOPs, and training materials.
- Demonstrated skills in staff development, coaching, and leadership.
- Strong computer competency; experience with blood bank software preferred.

Physical Requirements
- Must be at least 21 years old with reliable transportation, valid Texas driver’s license, acceptable driving record, and proof of liability insurance.
- Ability to lift up to 25 pounds unassisted.
Pay: $58,000.00 - $70,000.00 per year
