What are the responsibilities and job description for the Administrative Assistant position at We Are Blood?
Function as the first contact for the TCMS office. Provide administrative support to the department, badge program, events, and projects.
Responsibilities:
- First point of contact for physicians, their office staff, and the general public that contact TCMS including greeting physicians/their staff at TCMS front desk and notifying internal party of their arrival, providing information to help visitors, answering phones and directing calls to appropriate people.
- Manage the community-wide physician identification badge program.
- Manage physician photos, assuring proper identification, file location, and appropriate size and clarity for database and directory.
- Track and maintain records of meetings and events including participation, responses, and final event outcomes.
- Provide administrative support, and assist with timelines for major projects, programs, and events, and coordinate their implementation with project/program owners.
- Order supplies for TCMS, boardroom, and second floor workroom.
- Provide general administrative support for TCMS operations
- Staff events and meetings as assigned.
- Perform other duties and/or special projects as assigned.

Skills, Education, & Experience:
- High school diploma or equivalent required. Minimum of 3-5 years in a high-level administrative position. Prefer some college. College degree may substitute for experience.
- Prefer experience as receptionist, administrative assistance, or similar related position.
- Must be team oriented.
- Ability to adapt to change and facilitate change in a positive and professional manner.
- Superior organizational skills, high level of attention to detail, ability to work independently with little supervision, and excellent communication skills both verbal and written are required.
- Strong computer skills, including data entry and proficiency in Excel and Word.
- Excellent interpersonal skills and a passion for service.
- Excellent problem solving and communication skills.
- Exhibit professional conduct and demeanor at all times.
Physical/Mental Abilities:
- Must be at least 21 years old, have a valid Texas driver’s license, acceptable driving record and proof of liability insurance.
- Ability to assimilate information and draw reasonable conclusions.
- Ability to sit or stand for extended periods.
- Ability to work at a computer for extended periods.
- Ability to work overtime as needed, which may include early mornings, evenings, and weekend functions.
- Ability to handle and prioritize multiple tasks.
