The Opportunity

We are entering a deliberate next phase of growth and are looking for a Director of Practice Operations to bring structure, consistency, and momentum to a profitable, growing practice. This is a hands-on leadership role — ideal for a rising operator with 3-5 years of experience in aesthetic or medical practice management who is ready to take meaningful ownership and contribute directly to the practice's growth.


The Director will work in close collaboration with the Surgeon/Owner, an established internal team, and external consultants to implement operational systems, improve conversion performance, and build the infrastructure that allows the practice's culture and clinical excellence to scale.


What You Will Own

Build, implement, and maintain standardized operating procedures across all clinical and administrative departments.


Own consult-to-procedure conversion for both surgical and non-surgical services — monitor performance, identify drop-off points, and drive measurable improvement.


Optimize provider and OR scheduling to maximize daily capacity utilization across the surgical division and aesthetic spa.


Train and coach front-desk and consultation staff on patient communication, case acceptance, and service presentation — in collaboration with existing team leadership.


Build and maintain KPI dashboards; deliver weekly operational updates and monthly performance reviews to the Surgeon/Owner.


Identify and eliminate revenue leakage — including scheduling gaps, unconverted consults, unbilled services, and retail underperformance.


Support staff performance accountability through systems and operational structure — working in partnership with existing team leadership to drive measurable improvement across all departments.


Own the operational infrastructure behind the patient experience — including intake workflows, handoff protocols between clinical and administrative teams, follow-up cadences, and the systems that ensure every patient interaction is consistent, timely, and nothing falls through the cracks.


Lead the implementation and ongoing management of Nextech CRM — currently onboarded but early-stage. This includes building out patient records, automating follow-up workflows, integrating the platform across surgical and spa divisions, and ensuring the team uses it consistently as the single source of truth for patient communication, conversion tracking, and retention data.


What Success Looks Like — Year One

  • Measurable improvement in consult-to-surgery and consult-to-treatment conversion rates.
  • Standardized SOPs in place across clinical and administrative departments.
  • Improved scheduling efficiency across OR time, injector schedules, and consult availability.
  • Clear financial reporting and KPI visibility across all service lines.
  • Stronger patient experience scores, online reviews, and referral volume.
  • Growth in aesthetic spa revenue and client retention.
  • A high-performance operational environment where systems and mission-aligned culture reinforce each other.
  • Contribution to 20-30% growth in total practice revenue through operational improvements.


Ideal Candidate Profile

  • 3-5 years of experience in aesthetic medicine, plastic surgery, or high-end medical practice operations.
  • Proven ability to improve operational workflows, patient experience, and conversion performance — with metrics to back it up.
  • Comfortable building and reading KPI dashboards and financial reports.
  • Experience working within and alongside an established team structure — able to influence performance and accountability through systems and collaboration.
  • Nextech or similar practice CRM experience preferred but not required.
  • Highly organized, self-directed, and accountable — able to manage multiple priorities without close supervision.
  • Strong communicator and relationship-builder with patients, staff, and external partners.

Compensation & Benefits

Base Salary: $85,000


  • Performance Bonus: Tied to verified practice revenue growth — structured in tiers, not a discretionary year-end decision. Strong performers targeting 20-25% practice growth can expect total compensation in the $96,000-$103,000 range in Year 1, with meaningful upside above that. Full compensation structure provided in detail to qualified candidates.
  • Benefits: Health coverage, PTO, stipend applied to professional development, and employee pricing for services offered by WDF Aesthetic Plastic Surgery.
