Job Description
We are seeking a dedicated and proactive Operations Support Specialist to join our dynamic and growing team. This role combines recruitment support with general operational assistance, playing a key part in sourcing and hiring top talent, while also ensuring the smooth day-to-day functioning of the office. The ideal candidate will bring strong relationship-building skills, a talent for connecting with people, and a hands-on approach to operational tasks. Working closely with the Operations Manager, you will help implement effective hiring strategies and contribute to the overall efficiency and organization of the workplace.
Roles and Responsibilities
· Work must be performed per government laws, regulations, ordinances, and court rulings in all areas in which the Company operates.
· Work must be performed according to company policies and standards.
· Document routine work processes.
· Provide reports as requested.
· All Company, employee, and client information must be held confidential.
· Any reports or requests not able to meet deadlines must be reported to upper management before the due date.
· Any department or personnel issues not able to be resolved must be reported to upper management immediately.
· Identify system or process improvements and bring recommendations to upper management.
· Recommend ideas for improvement that are consistent with the Company’s vision.
· Provide staff assistance and other assigned duties as requested or assigned.
· Ensure internal and external telephone calls are returned within two hours or one business day.
· Ensure socializing does not impede successful workflow.
· Post all updates provided by Human Resources regarding business licenses, handbook updates, etc.
· Assist in Safety Meeting Preparation
o Ensure food orders are paid and completed prior to the Safety Meetings.
· Inventory/Asset Management
o Order inventory and assets as needed and record/maintain the inventory/asset records.
o Manage accounts such as Verizon, Apple, Etc.
o Key Fob tracking and communication.
o Coordinate Holiday Gifts for Vendors and Staff.
o Coordinate Birthday/Anniversary Cards/Gifts for employees.
§ Review any gift card purchase amounts with upper management prior to purchase.
· Send the Active Employee Roster sheet to the Operations team each week.
· Coordinate and manage the company’s participation in industry events
· Coordinate Holiday event planning
· Annually ensure federal and state compliance posters are current
· Annually distribute and collect surveys for field employee awards.
· Coordinate the rental of hotel rooms for field staff.
· Manage the full recruitment lifecycle, including sourcing, screening, interviewing and onboarding.
o Review completed application packets and provide complete applications to the Operations Team
o Scan no hires to Human Resources
o Schedule Insight Surveys and send results to Human Resources
o Conduct offboarding interviews
· Build and maintain strong relationships with potential candidates and hiring managers to understand talent needs.
· Conduct market research to identify talent pools, competitive insights, and industry trends.
· Assist in preparing offer letters, employment contracts, and supporting materials as needed.
· Collaborate closely with the Recruitment Supervisor to align efforts with hiring goals and timelines.
· Stay informed of industry best practices and emerging trends in recruitment and talent acquisition.
· Assist with office coordination, administrative support, and day-to-day operational tasks.
· Distribute supplies, equipment, and materials to team members or field personnel.
· Perform regular inventory counts and ensure accurate recordkeeping.
· Receive, unpack, organize and re-stock inventory items as required.
· Support general office organization, filing, and supply management.
· Perform other duties and special projects as designed.
Requirements
· Have a minimum of 2 years of managerial experience.
· Exhibit excellent verbal and written communication skills.
· Experienced in Microsoft Word, Excel and PowerPoint.
· Competent in working with computers, calculators and general office equipment
· Exhibit excellent organization and time management skills.
· Demonstrate high quality decision, critical thinking and problem-solving skills
· Ability to work independently in a fast-paced environment
· Demonstrate excellent work ethics and confidentiality.
· Ability to successfully multitask with a focus on details.
· Ability to work independently to complete tasks timely.
· Ability to meet attendance schedule with dependability and consistency.
