Construction Office Administrative Assistant
Reports to: Managing Members, Office Manager
We are a Commercial Construction Contractor seeking an experienced Admin Assistant. The ideal candidate will have experience in construction office and general office work
The primary objective of this position is to take charge of the day to day construction administrative duties as assigned.
Including but not limited to:
- Purchasing
- Sending and verifying purchase order for multiple jobs.
- Contract submittals
- Bid coordinating
- Man power schedule keeping
- Delivery schedule
- Back-up to various office duties
- New client outreach
- Manage socials including website
- Any other duties assigned
- working as an assistant to our construction team
Requirements
- Effective record-keeping and document management
- Proficient knowledge of computer programs including experience with QuickBooks, OneDrive, Excel, Word, Outlook, etc.
- Willingness to perform other administrative duties as assigned
- Must maintain a high level of confidentiality at all times both in and out of the workplace.
- Ability to: Coordinate, organize, schedule, and prioritize tasks for self
- Display a high level of proficiency
- Handle multiple priorities, duties, and responsibilities
- Follow oral and written instructions
- Effectively communicate issues to the proper departments and personnel
- Learn and understand our existing computer programs and software with ease
- Follow company policies and procedures
- Establish and maintain respectful and cooperative work relationships with Co-workers, Field Personnel, Subcontractors, Owners, Vendors, General Contractors, and other business associates.
Qualifications
- Must have 3-5 years construction experience, QuickBooks, is a plus to assist in purchasing
- High school diploma or equivalent (Required)
- Must be dependable
- This is a 40 hour/ 5 day per week schedule.
- Must have reliable transportation
- Must be detail-oriented
- Must have Valid Drivers License and be authorized to work in the United States
- Prefers someone who is Bilingual- Spanish and English
