Waynflete
Portland, ME Full Time
POSTED ON 4/16/2026
AVAILABLE BEFORE 6/16/2026

We seek candidates who are exceptionally organized and able to manage a wide range of responsibilities—from coordinating daily communications and student attendance to providing logistical support for major events like LEAP week and parent conferences. Qualified candidates should have a commitment to Waynflete's mission of progressive education, excellent interpersonal skills, and the technology skills necessary to manage student and health data systems. Candidates should be excited to serve as an integral, stabilizing presence in a fast-paced front office, balancing administrative precision with the patience, humor, and adaptability required to support and connect with middle schoolers.

This is a full time, benefit eligible position, with hours from 7:45-4:15 daily. Waynflete welcomes applicants interested in this role as either a 10-month (school year) or 12-month (year-round) position.

Key Responsibilities

  • Communication: Manage daily communication for faculty, staff, parents, and students, including coordinating division correspondence and contributing to the Waynflete Weekly.
  • Organizational Management: Maintain daily attendance and event calendars in Veracross; manage the Director’s schedule and stakeholder meetings.  Coordinate the distribution of MS lunches to students.
  • Event Coordination: Provide logistical support for events such as MS Transition Night, Mountain Day, Wellness Day, Field Day, parent conferences, LEAP week, school dances, community service days, and end of year activities.
  • Medical Support: In consultation with the Health Coordinator, manage health records in Magnus, administer first aid, and dispense medications.
  • Administrative Support: Process purchase orders, facility requests, and help plan weekly Community meetings.
  • Safety & Collaboration: Participate in emergency protocols and collaborate with the Director and Dean of Students on student issues.

Qualifications

  • Education: Bachelor’s degree preferred, or an Associate's degree with related experience.
  • Experience: Experience in an independent school or non-profit organization is a plus.
  • Technology: Proficiency in Google Apps (email, calendars, docs) and Microsoft Office; knowledge of (or ability to learn) Veracross and Magnus.
  • Attributes: Exceptional written and oral communication skills, a high level of discretion regarding confidential information, and a commitment to the principles of diversity, equity, and inclusion.
Institutional Commitment: With an institutional commitment to the principles of diversity, equity, and inclusion, Waynflete seeks candidates who are committed to developing inclusive methods in their teamwork and leadership.
