The Facilities & Grounds Manager is responsible for supervising and coordinating all maintenance, custodial, and grounds services across campus buildings and facilities. This position provides leadership, planning, and operational oversight to ensure a safe, clean, well-maintained, and functional environment that supports the daily operations and mission of the Academy. The role requires strong supervisory skills, technical knowledge of building systems, and the ability to manage multiple priorities while coordinating staff, vendors, and contractors.
Essential FunctionsThe Facilities & Grounds Manager is responsible for the overall management of campus facilities, maintenance, and custodial operations. Responsibilities essential to this function include:
Leadership & Supervision
- Supervise, train, and support all maintenance and custodial personnel
- Assign, prioritize, and monitor work orders and daily work routines
- Ensure staff are trained in proper cleaning, sanitizing, safety, and equipment-use procedures
- Motivate, direct, and evaluate staff performance
Facilities Operations & Maintenance
- Coordinate and oversee all maintenance, custodial, and grounds schedules
- Conduct routine inspections of buildings and campus grounds
- Organize, implement, and manage a comprehensive preventative maintenance program
- Maintain building systems, key systems, and security systems
Budgeting & Purchasing
- Prepare and manage annual maintenance and custodial budgets
- Maintain inventories of tools, equipment, furniture, supplies, and materials
- Oversee purchasing of equipment and supplies and make recommendations for improvements
Vendor & Contractor Management
- Solicit bids from outside contractors
- Supervise renovation, improvement, and repair work performed by contractors
- Verify contract compliance and completion prior to authorizing final payment
Safety, Compliance & Training
- Design, implement, and direct safety and training programs
- Maintain safety documentation including MSDS, OSHA logs, container labels, and records
- Ensure compliance with applicable safety, health, and regulatory requirements
Planning, Communication & Coordination
- Attend planning and coordination meetings as required
- Advise management on maintenance, repair, safety, and facilities-related concerns
- Communicate effectively with internal stakeholders and external vendors
- Ability to work independently and perform tasks with minimal supervision
- Strong leadership, supervisory, and team-building skills
- Knowledge of standard practices, tools, materials, and terminology of the building trades
- Strong verbal and written communication skills
- Ability to prioritize, problem-solve, and manage multiple responsibilities
- Demonstrates professionalism, integrity, and commitment to a safe learning environment
Directly supervises maintenance and custodial staff and oversees work performed by outside contractors and vendors.
Work Environment- Work is performed both indoors and outdoors
- Exposure to cleaning chemicals, maintenance tools, and varying environmental conditions
- Work schedule may include evenings, weekends, and emergency response as needed
- Position requires on-call availability
- Frequently required to walk, stand, climb ladders, bend, stoop, crouch, and reach
- Ability to lift and move up to 50 pounds
- Ability to work in both indoor and outdoor environmental conditions
- Regular and predictable on-site attendance is an essential function of the position
Minimal travel required; local travel related to facilities operations may be necessary.
Required Education and Experience- Formal education and/or demonstrated experience in maintenance or facilities management
- Minimum of three years of relevant experience preferred
- Prior supervisory experience preferred
Experience in an educational or campus-based environment.
