What are the responsibilities and job description for the Transportation Secretary position at Waverly-Shell Rock Community School District?
Waverly Shell Rock is currently accepting applications to fill a Transportation Secretary vacancy to start May, 2026.
Essential Functions:
- Welcome and assist students, parents, and staff
- Answer the main telephone line for the Bus Garage for the purpose of screening calls, transferring calls, responding to inquiries, and/or taking messages
- Assists with school registration and end-of-year duties
- Coordinates daily absences, record keeping, family communication, weekly transportation scheduling
- Responsible for maintaining student files, including Infinite Campus.
- Responsible for maintaining office cleanliness
- Strong organizational and people skills including the knowledge of routing and scheduling for the purpose of transporting students to and from school and on activity trips.
- Conforms to all state laws and regulations regarding school transportation.
- Develops and administers a transportation program to meet all the requirements of the daily instructional program and extracurricular activities.
- Order and maintain supplies for the general office area.
- Assist the mechanic with purchase orders and keep and record accurate service/maintenance files.
- Forward all purchase orders and invoices to the accounting department.
- Assist the Director of Transportation, principals, and other responsible for planning special school trips.
- Communicate and assist drivers with trip information/ routes/ & schedule changes
- Complete the annual state-mandated report for approval by the Administration.
- Assist with the drug & alcohol Program as required by Federal Law.
- Assist and follow procedures for crises or emergency situations.
- Maintain proficiency in operation of computer & software(including word processing, database, & spreadsheets) & other office equipment
- Work effectively with students, staff, and parents in a calm, positive manner.
- Use two-way radios and other transportation communications devices with proper language and coding.
- Perform secretarial duties, including proofreading for correct spelling and proper grammar.
- Understand and follow verbal and written instructions.
- Organize tasks and complete them with efficient use of time.
- Maintain confidentiality of all student and staff information.
- Maintain a current working knowledge of transportation issues, including routes, schedules, policies and safety procedures.
- Assist as needed viewing video tapes from buses and make objective observations.
- Operate GPS Tracking System
- Takes calls from bus drivers on procedures or schedule changes.
- Other related duties and responsibilities as assigned to facilitate the efficient operation of the Transportation Department.
Requirements:
- Previous experience handling confidential information
- Ability to multi-task and effectively communicate
- Strong computer skills with experience with Google Suite
- Preferred: CDL class B license with School Bus, Passenger, and Air Brake endorsements, or willingness to obtain.
- Preferred: Good Driving Record / Able to pass DOT Physical & pre-employment drug testing.
Full-time, benefit-eligible position
Work Schedule: 6:30 - 12:00 (Wednesday 6:30-4)
Starting pay: $17.00/hour
Contract: 220-Day
