Job Summary :
The Inn Independent Living, a division of the Waveny LifeCare Network, is seeking a warm, professional, and dependable Full-Time Receptionist to be the welcoming face and voice of our vibrant senior living community. As the first point of contact for residents, families, visitors, and staff, you will play a vital role in creating a positive, supportive, and organized environment.
Key Responsibilities:
- Greet residents, family members, visitors, and vendors with a friendly and courteous demeanor
- Answer and direct all incoming phone calls promptly and professionally
- Manage resident and visitor sign-in/out procedures and issue visitor badges
- Receive, sort, and distribute mail and packages
- Schedule and coordinate transportation for residents as needed
- Assist residents and families with general inquiries and directions
- Maintain an organized, clean, and welcoming reception area
- Monitor the front entrance and emergency call system; respond appropriately to resident emergencies or alerts
- Update resident directories, emergency contact lists, and daily census
- Assist with light administrative tasks (filing, copying, data entry, preparing resident communication boards, etc.)
- Coordinate with housekeeping, maintenance, and dining services for resident requests
- Support community events by helping with check-ins, name tags, and guest registration when needed
- Adhere to all safety, security, and confidentiality policies (including HIPAA)
Qualifications:
- High school diploma or equivalent required; additional education or administrative training a plus
- Minimum 1–2 years of receptionist, concierge, or customer service experience (senior living or healthcare setting strongly preferred)
- Excellent verbal and written communication skills
- Professional appearance and demeanor with a genuine compassion for seniors
- Strong organizational skills and ability to multitask in a fast-paced environment
- Proficient in Microsoft Office (Outlook, Word, Excel) and comfortable learning new software
- Ability to remain calm and courteous under pressure
- Reliable attendance and punctuality are essential
Physical Requirements:
- Ability to sit for extended periods while answering phones and performing computer work
- Occasional lifting of up to 20 lbs (mail, packages, office supplies)
- Ability to respond quickly in emergency situations
