We're looking for a detail-oriented and organized Operations Coordinator to join our growing Annual Support team in Tennessee. This is an in-office position based at our operations facility, with 100% in-office expectation. ABOUT THE POSITION
As an Operations Coordinator, you will be responsible for tracking, coordinating, and communicating shore power connection schedules, coordinating with subcontractors, managing Port and Cruise Line documentation, and ensuring all files are properly formatted and filed. You'll be the central point of contact for scheduling accuracy, stakeholder communication, and operational documentation—ensuring no shore power connection is missed and all systems run seamlessly.
This role requires strong organizational skills, proficiency with operational software, excellent communication abilities, and a commitment to accuracy and excellence.
WHAT YOU'LL DO
- Build, manage, track, and maintain shore power connection schedules for all sites; ensuring accuracy and up-to-date information in operational software and tools
- Develop, audit, and submit daily, weekly, monthly, and year-end reports to customers
- Coordinate shore power connection and system maintenance schedules with sub-contractors and key stakeholders
- Actively and effectively communicate status updates, changes, and cancellations to all stakeholders, ensuring no shore power connection is missed
- Manage, audit, and send out daily connection and incident reports to Port Officials and Cruise Line personnel
- Create and maintain project file folders for annual support projects, ensuring documentation is complete and accurately recorded
- Manage and maintain the shore power email inbox, ensuring communication is organized, clear, accurate, and timely
- Track, ship and manage site/project materials and assets
- Coordinate with internal stakeholders to resolve issues found in report audits
- Assist with data compilation for marketing and accounting efforts; coordinate with accounting to review and track monthly billing and change orders
- Support management with administrative tasks; communicate effectively with internal and external stakeholders; document processes accordingly
WHAT YOU'LL NEED
Required Qualifications
- Associate degree or equivalent 2-year college/technical school, or relevant work experience
- Strong attention to detail and exceptional organizational skills
- Proficient in Microsoft Office Suite and Excel; comfortable with database entry and project management software
- Strong verbal and written communication skills with ability to respond quickly and professionally
- Excellent time management and task prioritization skills
- Strong customer service skills and ability to communicate professionally with customers and key stakeholders
- Ability to work collaboratively, demonstrate initiative, and seek continuous self-improvement
Preferred Qualifications
- Experience with Smartsheet, Power BI, or Power Automate
- Experience with project tracking and operational database management
- Familiarity with port operations, maritime industry, or similar logistics environments
- Demonstrated flexibility and ability to manage high-volume periods and competing priorities
No travel required; position is 100% in-office at our Tennessee operations facility.
