We are seeking an energetic and detail-oriented Office Assistant to join our team. In this vital role, you will support daily office operations, manage administrative tasks, and ensure a smooth flow of communication. Your proactive approach and organizational skills will help keep our office running efficiently while providing excellent customer service to clients, vendors, and team members.
- Greet visitors at the front desk with professionalism and friendly demeanor, managing multi-line phone systems and directing calls appropriately
- Perform data entry, filing, and document proofreading to maintain accurate records and correspondence
- Handle incoming emails, correspondence, and customer inquiries with exceptional phone etiquette and customer support skills
- Assist with basic bookkeeping tasks using QuickBooks or similar accounting software to support office management functions
- Support administrative tasks such as copying, scanning, organizing files, and maintaining office supplies inventory
- Provide general clerical support to ensure efficient office operations and excellent customer service
- Previous office experience in clerical or administrative roles is highly preferred
- Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace applications
- Experience using multi-line phone systems and managing front desk responsibilities
- Bilingual abilities are a plus for effective communication with diverse clients and team members
- Demonstrated organizational skills with the ability to prioritize tasks efficiently
- Knowledge of medical or dental receptionist duties or personal assistant experience is advantageous
- Excellent time management skills with the ability to handle multiple responsibilities simultaneously
