About the Role:
Waterstone Counseling Center LLC is looking for a compassionate and organized full-time Patient Care Coordinator to join our dedicated team in both our Madison and New London offices. Position requires presence in office 9AM-4PM Monday through Friday. Days will be scheduled either in Madison or New London office.

Responsibilities:
- Serve as the first point of contact for clients, greeting and assisting patients in person, and by phone
- Schedule, confirm, and manage patient appointments using practice management software
- Insurance verifications
- Maintain accurate and confidential patient records in compliance with HIPAA regulations
- Communicate using Office 365 Teams with clinicians and admin team to ensure seamless patient care
- Process patient intake forms, consent documents, and demographic information
- Handle co-pay and balance collection calls
- Input medical orders as requested by medical staff
- Back office support may include new patient call screenings, prior authorization management
- Restock upplies and maintain cleanliness of front office, waiting room, kitchen and restroom
Requirements:
- Prior experience in a medical, behavioral health, or mental health office setting preferred
- Strong knowledge of patient scheduling
- Excellent interpersonal and communication skills with a warm, empathetic demeanor
- Proficiency with electronic health record (EHR) or practice management systems
- Ability to handle sensitive information with discretion and maintain strict HIPAA compliance
- Highly organized, detail-oriented, and able to multitask in a fast-paced environment
- High school diploma or equivalent required; associate's or bachelor's degree a plus
