The Finance Manager serves the Waterloo Community Foundation and works with the Executive Director to carry out the Foundation’s mission which is to “provide a lean and transparent partnership to those who wish to contribute resources for the betterment of the greater Waterloo, Iowa community.”


The Part-Time Finance Manager is responsible for overseeing and managing the financial operations of the Waterloo Community Foundation. This position ensures accurate financial recordkeeping, compliance with nonprofit accounting standards, timely reporting to the Board of Directors, and providing ongoing support to Fiscal Sponsorship partners.


This is a 25-hour per week position with flexible scheduling as coordinated with the Executive Director.

Essential Job Functions


Financial Processing & Recordkeeping

  1. Process and record all deposits, contributions, and other revenue accurately and in a timely manner.
  2. Prepare and send donor acknowledgements consistent with Foundation policies
  3. Process and manage accounts payable, including reviewing and coding invoices, ensuring proper authorization, and issuing timely payments.
  4. Reconcile bank and investment statements with internal accounts on a monthly basis
  5. Maintain accurate Fund records


Financial Reporting

  1. Prepare monthly financial statements and reports for the Board of Directors
  2. Prepare and publish quarterly fund statements for Fund Advisors
  3. Assess and apply administrative fees in accordance with Foundation policy
  4. Maintain documentation supporting financial activity and reporting


Compliance & Audit

  1. Coordinate preparation of materials for the annual audit
  2. Prepare and/or coordinate preparation of IRS Form 990 and related filings
  3. Ensure compliance with nonprofit accounting standards and applicable regulations
  4. Maintain internal controls to safeguard Foundation assets


Fiscal Sponsorship Oversight

  1. Manage financial tracking and compliance for Fiscal Sponsorship agreements
  2. Monitor expenditures to ensure alignment with Fiscal Sponsorship agreements and IRS requirements
  3. Serve as a liaison and resource to Fiscal Sponsorship partners


Additional Responsibilities

  1. Support the Executive Director with financial forecasting and budgeting
  2. Serve on the Finance & Investment Committee
  3. Assist with process improvements and financial policy development
  4. Perform other related duties as assigned


Required Education/Skills/Attributes/Experience/Training

  1. Post secondary education preferred in business, accounting, or related discipline.
  2. Experience with nonprofit or fund accounting.
  3. Experience with nonprofit audits and IRS Form 990 preparation preferred.
  4. Experience with endowment accounting or community foundation finance preferred.
  5. Proficiency in accounting software and Microsoft Excel.
  6. Strong attention to detail and high level of accuracy.
  7. Ability to prepare clear and concise financial reports.
  8. Strong organizational and time management skills.
  9. Strong communication skills, both written and verbal.
  10. Ability to exercise tact, good judgment, dependable and maintain confidentiality; be self-motivated; able to work independently and be a good team member with staff, board members, donors, volunteers, non-profit organizations, and community partners; maintain excellent attendance and demonstrate the ability to prioritize tasks effectively.
