What are the responsibilities and job description for the Building Secretary - Waterford Elementary position at Waterford Elementary?
Position Criteria:
- High school diploma or equivalent and/or specialized training or similar work experience, required
- 2 or 4 year degree or equivalent work experience in a similar field, preferred
- Background experience using school-related software or willingness to learn, including, but not limited to: Powerschool, SmartFind Express, TimeClock Plus, iVisions and InfoSnap
- Knowledge and/or experience in use of computers and various technological applications
- Demonstrated competence in relating, communicating, and maintaining confidentiality in the workplace
- Friendly and professional to all students, parents, visitors and staff
Performance Criteria:
- Attendance: Monitor the attendance phone line and the office phone for student absences. Monitor PowerSchool absences entered by parents/guardians. Enter information in PowerSchool.
- Absence Management System: enter absences & vacancies, monitor unfilled positions and take action to find substitutes or arrange internal coverage, consult with building administrators on best use of resources for coverage, and address any leave/substitute issues with District HR.
- Phone: Answer and direct phone calls. Screen calls for teachers and administrators.
- Substitute Assistance: greet substitutes & assist with sign-in, badges, keys, unlocking doors, building directions, printing sub plans.
- P-Card: Responsible for reconciling all P-Cards in the building, managing and uploading purchase documentation into IVisions, and sending documentation to the District Office at the end of each billing cycle.
- Budget: Monitor expense accounts and keep the building budget up to date. Enter purchased PO’s on the building budget account spreadsheet for an accurate running total of monies left in each account. Maintain the budget for the Principal.
- Deposits: Prepare deposits for all checks & cash collected within the building.
- PowerSchool: Daily: Run reports as needed. Update student and parent information. Work on class schedules for teachers and mass enrollment of students. Other Powerschool duties as assigned.
- Mail/Central Print: sort & distribute all mail-ordered supplies and print to staff. Reorder central print forms as needed.
- Visitor Check-In: monitor Visitor Management System and provide customer service
- Registration: Monitoring & helping parents with student registration. Also assist with the student transfer-out process throughout the year.
- Customer Service: address various needs of staff, students, parents, community members, visitors, & vendors via phone, email & in-person contact throughout the school day. High volume at the beginning & end of each day.
- Timeclock: Review all time clock records for hourly staff, advise principals on any issues or concerns, and assist staff with missed punches and/or related issues.
- Teachers: Support teachers as needed with various projects (ie: cutting, laminating, conference binders, etc).
- ParentSquare: Send out school-wide email communications from staff and PTO to staff and school families as well as bi-weekly newsletters.
- Nurse Backup: Assist nurse whenever needed. Take all mandatory nurse trainings through the AEA website.
- Community Education: Coordinate with Community Ed when classes are held in the building. Communicate rosters with teachers, and communicate attendance of students with instructors.
- Other duties as assigned
