What are the responsibilities and job description for the Wedding Manager position at Water's Edge Resort & Spa?

Reporting to the Senior Wedding Sales Manager & Director of Sales, the Wedding Manager will be responsible for overseeing the execution of the assigned weddings from the detailing process through the day of the event including pre & post events. The Wedding Manager will remain as the main point of contact with the couple and provide sound planning & discuss all arrangements according to the hotel’s policies. The Wedding Manager will strive to provide our couples with the best experience on their wedding journey with the resort from the first day of planning to their Wedding Day.


Primary Tasks:

  • Track, follow up and maintain accurate records for all events.
  • Provides direction and supervision to affected departments and team members during execution of wedding/events.
  • Timely communicate with couples via telephone, email, written documents or in person.
  • Demonstrate knowledge of job systems, products, booking systems, and processes
  • Prepare Wedding Banquet Event Orders (BEOs) utilizing Maestro software.
  • Resolve conflicts and negotiate with others while handling complaints, settling disputes, and resolving grievances and conflicts.
  • Upsell additional services when appropriate.
  • Make decisions and solve problems by analyzing and evaluating the issues and determining the best solution.
  • Ensure high quality by communicating and assisting others to understand the guest needs, providing direction and guidance, feedback and individual coaching when needed.
  • Participate in customer site inspections and assist with the sales process as necessary.
  • Plan and coordinate details of booked events.
  • Manage group and individual tastings.
  • Coordinate with outside vendors.
  • Address all venue, wedding, or ceremony questions.
  • Schedule and conduct Wedding planning visit and rehearsals prior to the wedding day.
  • Assist with the event operations and coordination as needed
  • Work closely with the Banquet Department to provide the best experience to our couples.
  • Attend weekly BEO meetings and communicate clearly with the Banquet Team.
  • Track, follow up and maintain accurate records for all events.
  • Facilitate the booking of overnight rooms and exercise yield management for room blocks.
  • Conduct all interactions with the highest level of professionalism.
  • Build good rapport with customers and other hotel departments.
  • Dress in a manner which is conductive to a business environment whereby first impressions reflect on the resort image.
  • Other duties as assigned.
  • High school diploma or equivalent.
  • Three (3) years of wedding/event planning experience preferred.
  • Ability to work in a fast-paced, demanding work environment.
  • Strong presentation skills to represent the resort professionally and successfully.
  • Have fully functional computer skills including experience with Word, Excel and PowerPoint.
  • Demonstrable ability to multi-task and adhere to deadlines.
  • Well organized with a customer-oriented approach.
  • Team player with clear and concise communication skills.
  • Ability to maintain a professional appearance.
  • Must be available to work evenings and weekends.
  • Able to effectively communicate in English, in both written and oral form.
  • Proficient with Maestro software including Sales & Marketing and Front desk.
  • Required to stand for long periods of time
  • May require lifting, pushing, pulling and carrying of up to 20lbs.
