Job Summary
Washoe Housing Authority (WHA) is seeking an energetic and detail-oriented Receptionist-Intake Specialist to serve as the primary point of contact for WHA. In this vital role, you will manage front desk operations, coordinate intake processes, and provide exceptional customer support to clients, visitors, and team members. WHA and participants in Homeownership, Low-Rent, and other housing assistance programs. This role is responsible for collecting and reviewing client documentation, maintaining accurate account records, and ensuring that all required information is complete before forwarding applications to a Client Services Specialist.

As the first point of contact for incoming applications, the Intake Specialist interacts with clients, community members, and the public through written, verbal, and telephone communication, providing information and assistance as needed. This position also performs a variety of clerical and administrative tasks to support the WHA office's daily operations.

Essential Duties & Responsibilities:

  • Serve as the first point of contact for clients by assisting them.
  • Receive and announce phone calls professionally.
  • Provide clients with information and applications on WHA programs.
  • Collect applications and ensure that all applications are completed correctly, with all necessary information and signatures included.
  • Receive, record, reconcile, house/rental payments, and provide them to the Finance department
  • Produce letters, announcements, and general correspondence.
  • Prepare and route purchase orders upon request and approval of managers.
  • Submit a daily log of invoices received with check requests attached to each invoice to the Finance department.
  • Schedule & monitor requests for facility use.
  • Assist with filing and recall of file information as needed.
  • Prepare and have client applications available for all programs.
  • Log all incoming mail and accurately distribute mail to appropriate staff members.
  • Assist staff members with copying, faxing, and filing.
  • Monitor the general condition of office equipment and ensure adequate supplies are on hand.
  • Order office supplies using procurement procedures per the financial management policy.
  • Engage in community events or activities that are required occasionally.
  • Actively participate in staff meetings.
  • May be required to provide public speaking to help disseminate information to the public.
  • Other duties as assigned.

Knowledge, Skills & Abilities:

  • Ability to interact effectively and professionally with other WHA and Tribal staff, residents, agencies, businesses, and the public.
  • Ability to work effectively with individuals from diverse cultural and economic backgrounds.
  • Ability to maintain confidentiality and handle sensitive information.
  • Excellent verbal communication, grammar, and business writing skills.
  • Must be proficient in Microsoft Office. (Outlook, Word, and Excel)
  • Must have basic computer skills to work within the WHA tenant computer system.
  • Knowledgeable of general office equipment such as faxes, copy machines, etc.
  • Knowledge of basic bookkeeping to post monthly rent charges and monitor participant accounts.
  • Ability to multitask several situations at once.
  • Ability to read, interpret, and understand policies and programs.
  • Ability to keep accurate records and knowledge of filing systems.
  • Ability to conduct oneself professionally in communication and dress.

Minimum Qualifications:

  • Three (3) years of customer service experience.
  • Three (3) years of receptionist front office experience.
  • Must have a valid California or Nevada driver’s license with an acceptable driving record.
  • Must have a High School Diploma/Adult Diploma/GED
  • Must pass pre-employment drug screening and criminal background investigation.

Physical Demands:

  • Frequently sit for periods of time.
  • Occasional standing and walking throughout the office.
  • Frequently viewing a computer screen.
  • Frequent verbal communications in person and on the telephone.
  • Frequently twisting and reaching.
  • Frequent simple grasping of objects and fine manipulation to write.
  • Frequent use of fingers for the computer keyboard and other office equipment.
  • Multitasking several situations at once.
  • Occasionally lifting, carrying, pushing, and pulling objects and materials up to 25 pounds.

Working Environment:

  • Work is carried out in an office setting at the front office desk.
  • Working hours are Monday through Friday, 8:00 am to 5:00 pm. Subject to change due to work demands. Occasional evening and/or weekend work may be required.
  • Dress attire is business casual.
