We are looking for an energetic and growth-minded individual to join the Department of Developmental Biology as an Accounting and Purchasing Assistant. As an Accounting and Purchasing Assistant, you will play a crucial role in supporting the financial and procurement operations of our department. Your responsibilities will include processing financial transactions, maintaining accurate records, coordinating vendor communications, and assisting with purchasing activities. You will work in a collaborative and fast-paced setting, providing essential support to researchers and administrative staff while gaining hands-on experience with modern financial systems and AI-driven technology.
Job Description
Primary Duties & Responsibilities :
- Enters and approves online documents in financial system, such as PO's, check requests, travel advances and various orders, bills and invoices.
- Process and track financial transactions, including invoice management, expense reporting, and reconciliation.
- Collaborate with internal teams and external vendors to facilitate timely and cost-effective purchasing.
- Compiles monthly and quarterly reports of expenses to division.
- Maintains open encumbrances and asset records, record check numbers on documents, PARS, accounts, and copying / filing.
- Collaborate with other administrative areas, such as grants, when necessary.
- Assist in identifying efficiencies and process improvements to enhance financial workflow.
- Gain valuable experience working with Workday and AI-driven financial systems, learning real-world applications of operations and finance in a research setting.
- Other duties as assigned.
