Position Summary

The role of Materials Manager reports to the Surgery Financial Manager. This position is responsible for managing all supplies, instruments, and equipment for surgical services at Washington Regional Physicians’ Specialty Hospital (the “PSH”), which includes ordering, receiving, storing, and distributing items. This position is responsible for maintaining optimal inventory levels, using inventory management software, verifying charges, assisting with equipment repair, and coordinating with clinical staff and vendors to ensure all necessary materials are available for surgical procedures.

Essential Position Responsibilities

  • Order, receive, store, and distribute surgical supplies, implants, and equipment.
  • Use inventory tools like automated units, handheld devices, and ERP systems for perpetual inventory and data entry.
  • Ensure the correct supplies and equipment are available for each surgical case by reviewing the schedule and coordinating with vendors.
  • Accurately track and verify patient charges for used supplies, including tracking serial numbers for implants.
  • Oversee inventory vitality by forecasting inventory needs and assisting with managing the budget, identifying cost increases, participating in product standardization, monitoring for product expiration, and ensuring that product is rotated effectively.
  • Assist with equipment maintenance, repair, and recalls, including setting up new equipment and coordinating loaner equipment or repairs.
  • Achieve financial objectives by assisting in annual budget prep, scheduling expenditures, analyzing variances, and initiating corrective actions in partnership with the financial manager and surgery leadership.
  • Facilitate off-site pickup and delivery of sensitive documents, recyclable materials, soiled linens, and non-regulated medical waste requiring the proper use of personal protective equipment while ensuring accurate and detailed documentation is maintained as necessary.
  • Maintain knowledge of interdepartmental software systems.
  • Assist in stocking supplies.
  • Follow all hospital and regulatory guidelines, such as those from the FDA and AABB, and maintain logs and databases as required.

Qualifications

  • Education: Graduate from an accredited CST or LPN program.
  • Licensure and Certifications: CST or LPN, required. Driver’s license and auto liability insurance, required.
  • Experience: Previous experience in a healthcare environment with purchasing, procurement, materials management, inventory control, or revenue cycle, preferred.

Work Environment: This position will spend approximately 60% of the time standing and/or walking while pushing, pulling, lifting, and/or carrying up to 50 lbs. and 40% of time sitting while performing work in a standard office environment. This position may be exposed to communicable disease or bodily fluids. This position will serve a culturally and linguistically diverse patient population.
