What are the responsibilities and job description for the Part Time School Secretary position at Washington-Caldwell School District?
Washington Caldwell School District is currently seeking a part time Morning Secretary (7:30am-1:00pm). This is a part-time, 10.5 month position.
Salary: Based on experience, starting at $18.00 per hour, 5 days per week
This position performs high-level secretarial duties including health room administration, student record keeping, and state reporting. A high level of confidentiality is needed for this assignment.
Essential Job Functions for this Position: Tasks listed MAY be assigned, along with some recess duty possible.
Record Keeping/Office Management Skills
- Answer phones, greet visitors/families, assist students as needed.
- Assist administrator with calling substitutes for employee absences.
- Collect and deposit student lunch monies on a daily basis.
Communication/Interaction Skills
- Must be able to prioritize, handle multiple assignments and manage time so that tasks are accomplished within deadlines.
- Treat every phone call requesting help promptly and courteously.
- Be attentive, pleasant and focused on duties and responsibilities at all times.
- Exercise full discretion when dealing with confidential student and personnel information.
- Make judgments or decisions that are based on an established school procedure/protocol.
- Demonstrate the ability to work independently with minimal direct supervision.
- Act as a resource and troubleshooter for administrators.
- Must maintain positive attitude and excellent demeanor at all times.
Student Information
- Maintain accurate student absence records.
- Maintain accurate enrollment data for all students using PowerSchool Student Information System.
- Process student enrollments and withdrawal/transfer record requests.
- Provide assistance to and be a resource to building staff regarding PowerSchool data.
- Maintain confidentiality at all times.
Student Health and Safety
- Manage health room including medication record keeping, storage, and delivery of medication as trained.
- Maintain confidentiality.
- Make home contact for ill students.
- Supervise ill students.
Support to Building Administration
- Ability to communicate effectively, collaboratively and positively with employees, students, parents, administrators, board members and public.
- Ability to organize, prioritize, and carry out work.
- Ability to use good independent judgment and solve problems in emergencies or within tight deadlines.
- Demonstrated ability to solve complex problems in a manner consistent with school policies/procedures.

Qualifications:
- High School diploma required, Associate Degree in related clerical or business field preferred.
- Demonstrates ability to maintain student information systems for student record keeping, communication and attendance purposes.
- Demonstrates ability to use Google Docs, Sheets, Gmail, etc.
- Demonstrates above average organizational, planning, problem solving and time management skills.
- Demonstrates above average written and verbal communication skills.
- Demonstrates ability to perform duties in an efficient, timely and confidential manner.
- Demonstrates ability to collaborate with members of the office team to produce positive results.
- Maintain confidentiality with regard to student and/or personnel records.
- Willingness to accept supervision and implement district initiatives in support of student learning.
