The Law School Advancement Operations Manager reports to the Assistant Dean of Law School Advancement (ADLSA) and is responsible for day-to-day management of the strategic and operational functions of the Law School Advancement team. The Manager ensures the effectiveness and efficiency of Law School Advancement efforts through event planning, data management, reporting, and stewardship coordination, ensuring appropriate collaboration with Law School Administration, University Advancement, and other campus departments to carry out these responsibilities. This position supports and advises the Assistant Dean with event management, process optimization, technology systems, and budget planning. Essential Functions: Manages operations for the W&L Law Advancement Office, often serving as the initial point of contact for donors, alumni, and W&L stakeholders. Manages all aspects of Law School Advancement event planning, including logistics, registration, and communications for Law Alumni Weekend, Law Council meetings, and off campus Alumni gatherings and stewardship events. Event logistics responsibilities include arranging meeting space, reservations, registration, catering, and event-related facilities requests. Briefs the ADLSA on event plans and incorporates feedback and updates throughout the planning process. Coordinates Law School donor stewardship, special acknowledgement correspondence, impact reporting, and gift processing coordination in collaboration with appropriate offices within University Development and members of the Law School Advancement Office. Leads design and execution of W&L Law Fund stewardship materials in collaboration with the ADLSA and the Assistant Dean of Law Communications. Maintains stewardship tracking for Law Advancement to ensure timely and personalized donor engagement. Manages Law Advancement constituent communications calendar to ensure appropriate outreach at opportune times to the proper constituents. Maintain accurate and up-to-date Law advancement records and reports using the advancement CRM. Generates regular and ad hoc reports to track engagement, giving trends, stewardship efforts, and Law Advancement campaign progress. Collaborates with Advancement Operations to validates gift entries to the CRM, fund allocations, constituent information, and ensures data integrity and alignment with university-wide reporting standards. Assists the ADLSA in managing department budgets, including receipts and business office travel documents, and processing advancement-related expenses. Provides input for annual budget discussions with the Assistant Dean for Finance and Administration. Provides administrative and strategic support to the Assistant Dean of Law School Advancement, including calendar management, meeting preparation, travel arrangements, and project tracking. Coordinates with the Assistant Dean for Finance and Administration and if appropriate, the business office, on Law Advancement purchasing, reimbursements, travel vouchers, and vendor payments. When appropriate, coordinates with other institutional offices (communications, alumni affairs, development, advancement operations) to provide cross-functional support. Other related duties as assigned. Minimum Qualifications: Bachelor’s degree required. Two or more years of experience in advancement services, higher education administration, or related field. Proficiency in donor databases or CRMs, reporting tools, and Microsoft Office Suite (Excel, Word, PowerPoint). Strong analytical skills with the ability to interpret data and produce actionable insights. Excellent organizational and project management skills. Strong interpersonal skills and communication skills, both written and verbal. Absolute discretion and professionalism in handling confidential information. Knowledge of stewardship and donor relations best practices is desirable. Ability to work occasional evening or weekend work for events is required. Campus Safety and Welfare Responsibilities: This position is designated as a Campus Security Authority (CSA) in accordance with the Clery Act. This position is required to report Clery qualifying crimes to the Department of Public Safety and complete annual training about your reporting responsibilities under the law. Physical Requirements: Fingering: Picking, pinching, typing or otherwise working, primarily with fingers rather than with whole hand or arm as in handling. Grasping: Applying pressure to an object with the fingers and palm. Repetitive motions: Making substantial movements (motions) of the wrists, hands, and/or fingers. Working Conditions: The worker is not substantially exposed to adverse environmental conditions. Types of Work: Sedentary work: Exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria are met.
