- 7:30a-1p (5.5) Summary/objective: The primary role of the Front Desk Specialist at Warren Village's Alameda Campus is to develop a resident-centered, trauma-informed culture by fostering a safe, inclusive, and engaging community. Key responsibilities include front-desk operations and ensuring smooth property access. Essential Functions and Responsibilities: Supports Warren Village's mission through consistent presence at the front desk and in community areas, promoting a welcoming and supportive atmosphere. Provides coverage at the front desk on weekdays and weekends, manages communications (phone, email), and oversees visitor and guest check-ins to ensure building safety. De-escalates challenging situations in a trauma-informed manner and documents incidents for appropriate follow-up. Coordinates communication between residents and staff, maintains accurate records of resident interactions, and assists with mail distribution and administrative processes. Conducts regular property inspections to ensure a clean, safe environment and monitors inventory of office supplies and materials. Completes timely and accurate service documentation, supports data entry and reporting for compliance and outcomes tracking. Other duties as assigned. Demonstrated ability to form a professional working relationship with clients in an empathetic, respectful, and non-judgmental way. Ability to work independently as well as part of a team comprised of volunteers, professional staff, and residents. Ability to be a self-starter, work both independently and collaboratively at various levels of employees and people of diverse backgrounds and cultures. Ability to plan, organize and implement strategies, set realistic goals, monitor and evaluate progress to goals, and manage multiple priorities simultaneously. Strong computer skills required, including Microsoft Office (Word, Excel, PowerPoint). Minimum Qualifications: High School diploma or general education degree (GED) Minimum 6 months related experience. Must be 21 years of age Work Environment: The working environment is that of a typical office setting. The employee is occasionally exposed to moving mechanical parts with regards to filing cabinets, printers, and computers, etc. The noise level in the work environment is usually quiet to moderate. Physical Demands: While performing the responsibilities of the position, must constantly be able to remain in a stationary position 50% of the time; occasionally move about inside the office to access file cabinets, office machinery, etc. Constantly operates a computer and other office productivity machinery such as a calculator, copy machine and computer printer. Frequently communicates information and ideas so others will understand; must be able to exchange accurate information in these situations. Must have the ability to observe details at close range.
