District Office Secretary
Reports To: Superintendent / Assistant Superintendent
Job Summary:
The District Office Secretary provides administrative and clerical support to ensure the efficient operation of the school district office. This position is responsible for maintaining accurate records, supporting compliance reporting, assisting staff, and managing various district-level processes.
Essential Duties and Responsibilities:
- Run and oversee Cycle Reports 2-7, ensuring accuracy and timely submission
- Complete and submit the Civil Rights Data Collection (CRDC)
- Register and enroll new students, maintaining accurate student records
- Serve as the eSchool System Administrator, overseeing and maintaining the district student information database
- Review, monitor, and correct accreditation data and errors as needed
- Assist licensed staff with licensure renewal processes and documentation
- Support the new hire process, including background checks, child maltreatment checks, fingerprinting, and preparation of new hire letters
- Oversee planning and coordination of district end-of-year celebrations and events
- Maintain confidentiality of student and personnel records
- Provide general clerical and administrative support to district office staff
- Perform other duties and tasks as assigned
Qualifications:
- High school diploma or equivalent required; associate’s degree preferred
- Experience in office administration, preferably in a school setting
- Strong organizational and time management skills
- Attention to detail and accuracy in data management
- Proficiency in computer systems and databases (experience with student information systems preferred)
- Ability to maintain confidentiality and handle sensitive information
- Strong communication and interpersonal skills
- Professionalism at all times
