What are the responsibilities and job description for the Executive Assistant position at WARM, Inc.?
Purpose
The Executive Assistant will play a key role in the high performance of the entire WARM team by providing exceptional support for its leadership team. Reporting directly to the CEO, the Executive Assistant will be familiar with all aspects of WARM by anticipating and addressing logistical, administrative, and communication needs of the organization and Board of Directors.
Part-time (25 hrs weekly). Monday – Friday with occasional evenings and weekends.
Responsibilities
Executive
- Manage CEO calendar: schedule meetings, handle correspondence, and act as gatekeeper
- Conduct special projects and research for CEO
- Actively pursue speaking engagements, networking opportunities, and meetings for CEO
- Make travel arrangements as necessary
- Provide support to Board of Directors by preparing materials, setting up meetings, planning activities, sending reports and announcements, etc.
- Organize board involvement (committee assignments, tasks, hours, etc.) as needed
- Coordinate onboarding process for board members
Administration
- Take notes at staff meetings and email summary to all applicable employees
- Serve as back-up for receptionist as needed
- Coordinate logistics for staff meetings, conferences, and other events as requested
- Provide document design and document management assistance as requested
- Complete other administrative and record-keeping tasks
Required Attributes and Skills
- 3 years reception and administrative experience in professional office setting
- Strong written and verbal communication skills
- Excellent organizational skills with attention to detail
- Outstanding computer skills to include demonstrated experience with email, data entry (Salesforce.com preferred), internet searches, and Microsoft Office 365 including MS Teams.
- Understanding of basic office equipment
- Flexibility, responsiveness, resiliency
- Ability to think ahead to anticipate needs and resolve issues
- Discretion and Confidentiality: handling sensitive information with care
- Appreciation for diversity and adaptable to new situations
- Desire to work with elderly, disabled, and low-income populations
