Customer Service & Administrative Operations Coordinator

Warehouse Republic Third-Party Logistics (3PL) North Carolina Full-Time, On-Site

About the Role

Warehouse Republic is a growing third-party logistics (3PL) company, and our North Carolina facility is scaling fast. We are hiring the person who will own the administrative side of that operation and make it run smoothly — every order entered right, every report delivered on time, every customer question answered the same day, and every process documented so it works without heroics.

Your first and most important assignment is to become the dedicated service lead for our anchor account, a leading global home-textiles brand. You will learn their products, order patterns, and priorities inside and out, and become the person their team — and ours — relies on to keep things moving.

This is not a support role where you wait to be handed work. We are looking for someone who sees a messy process, fixes it, documents the fix, and moves on to the next one. You will report to the Operations Manager, but the administrative rhythm of the building will be yours.

What You’ll Own1. Anchor Account Service — your first priority

  • Serve as the single point of contact for the account: all daily email and phone correspondence on orders, inventory, shipments, and requests.
  • Own the daily order flow in our Warehouse Management System (WMS) — enter, process, and track every order through fulfillment, coordinating with the warehouse floor to hit ship dates.
  • Communicate proactively: flag shipping delays, inventory concerns, and service issues before the client has to ask.
  • Schedule inbound and outbound shipments and keep appointment calendars accurate.
  • Research discrepancies and claims and drive them to closure — you own the resolution, not just the ticket.
  • Maintain clean account records and deliver the recurring reports the client counts on.

2. North Carolina Administrative Operations

  • Produce daily and weekly operational reporting — metrics, KPIs, and inventory reports — accurately and on schedule.
  • Reconcile inventory reports, flag discrepancies, and chase them to resolution.
  • Keep SOPs and operational documentation current — and write the ones that are missing.
  • Run new-hire onboarding paperwork and coordinate training schedules.
  • Support audits, compliance activities, and customer visits.
  • Back up the Operations Manager on labor-planning administration, meeting coordination, and special projects.

3. Making It All Run Better

  • Identify recurring administrative problems and fix the root cause, not just the symptom.
  • Build the checklists, templates, and SOPs that let the operation run consistently without you standing over it.
  • Leave every workflow you touch smoother than you found it — each quarter, NC’s admin should run more cleanly than the last.

What Success Looks Like

  • First 30 days: You know the anchor account’s products, order patterns, and key contacts, and you’re handling daily correspondence independently.
  • By 60 days: You own the full order flow in the WMS and your first recurring reports are going out on schedule.
  • By 90 days: You are the primary contact the client goes to first, responses go out same-day, and you’ve documented — and improved — at least two core admin workflows.
  • Ongoing: The client raves about the service, reports are trusted without double-checking, and admin issues get solved before they reach the Operations Manager.

What You’ll BringRequired

  • 2 years in customer service, logistics, warehouse administration, or a similar office role.
  • Strong Microsoft Excel and Outlook skills; comfortable learning new systems quickly.
  • Excellent written and verbal communication — clear, professional, and fast.
  • Exceptional attention to detail and the organization to juggle multiple priorities without dropping any.
  • Self-motivated ownership mentality: you follow issues through to resolution and exercise good judgment with confidential information.

Preferred

  • Experience with Warehouse Management Systems (WMS) or ERP systems.
  • 3PL, warehouse, or distribution industry experience.
  • Associate’s degree or higher.

Compensation

  • Competitive for coordinator-level logistics roles in the Triad market. To be disclosed during the interview.
  • Full-time position with overtime paid as applicable.

Schedule & Work Environment

  • Full-time (40 hours/week), Monday–Friday, on-site at our North Carolina facility; occasional overtime as business needs require.
  • Primarily office-based within a warehouse environment, with regular visits to the warehouse floor.
  • Ability to sit, stand, and walk throughout the day and occasionally lift up to 20 pounds.

Pay: $20.00 - $22.00 per hour
