Ward and Smith, P.A. is a growing full-service law firm with multiple offices throughout The Carolinas. We are seeking a Records Department Supervisor to join our Asheville, Greenville, New Bern, Raleigh, or Wilmington Office.
Applicants should be technology savvy; multi-task oriented; have excellent written and oral communication and comprehension skills; have strong organizational, administrative skills and be able to function well in a fast-paced environment. Candidates should exhibit a professional demeanor and relationships with all members of the Firm and be conscientious and willing to work hard individually and as a team. A high school diploma or equivalent is required with some college classes preferred. Supervisory experience in a professional services or records department environment is highly desirable.
Leadership
Under the supervision of the Administrative Services Manager and according to established Firm policies and procedures, the Records Department Supervisor is responsible for the day-to-day operations of the Records Department. Responsibilities include, but are not limited to:

- Leading the Records Department, balancing workloads, providing guidance and direction.
- Ensure adherence to Firm guidelines, safety, and security procedures.
- Streamline File Room processes and implement new processes/procedures that benefit the efficiency of the department.
- Interview and evaluate candidates for any open positions.
- Provide constructive feedback and recognition to team.
- Provide training for employees.
- Ensure maximum productivity.

Operations

- Maintain inventory on all File Room related stock items.
- Have knowledge of all job procedures and file room equipment to assist file room employees with same on a regular basis.
- Work efficiently with all vendors related to document management.
- Assist/support facility-related and other inter-departmental tasks/projects as assigned.
- Perform duties and special requests assigned by management.
