What are the responsibilities and job description for the Deputy Clerk of Courts - Civil & Small Claims position at Walworth County?
This position is responsible for the judgment and lien docket of all money judgments of the court, transcripts from judgment and lien dockets of other Wisconsin court and of federal courts, warrants for unemployment insurance and warrants for delinquent Wisconsin income or franchise taxes, all claims for liens by prime contractors, subcontractors, suppliers and service providers. Additionally, this position is responsible for researching and interpreting civil and criminal State statutes pursuant to Sections 801 through 847 and 974 as well as creating and maintaining all Walworth County court files, exhibits, and court records.
SUPERVISION
This position acts as a lead worker to the department's Administrative Clerk.

Open and close small claims and civil files.
Monitor filing and hearing deadlines.
Arrange and maintain court calendars.
Perform administrative duties such as scanning, copying and organizing case files.
Receive and process all mail pertaining to small claims and civil files.
Review paperwork received from parties ensuring completeness and accuracy.
Organize exhibits, documents and appendices.
Maintain exhibit listings and exhibits for all cases.
Process exhibits for destruction.
Process appeals for civil and small claims files.
Review court documents to determine if they are confidential pursuant to Wisconsin State Statutes and mark those documents as confidential if appropriate.
Make arrangements for interpreters for those defendants who are language or hearing impaired.
Process the filing of civil claims, foreign judgments and transcripts of judgment, and maintenance, condominium, construction and hospital liens
Process non-earnings and earnings garnishments.
Process delinquent state tax, unemployment tax and unemployment compensation warrants.
Enter and docket judgments.
Review docketing for accuracy.
Schedule small claims hearings.
Schedule motions and court hearings.
Prepare and send notices of jury trials, court trials, motion hearings, and various other hearings.
Monitor deadlines and arrange and maintain court calendars.
Maintain multiple agendas and provide timely reminders.
Prepare files for the weekly small claims calls.
Clerk the weekly small claims call as needed.
Clerk civil foreclosure proceedings and process the same after court.
Provide coverage to other clerks by clerking in court for various types of hearings.
Provide coverage to the Civil Admin II.
Provide coverage to the Family Deputy Clerk / Family Department.
Assist public by processing requests for copies.
Issue transcripts, executions, exemplified copies and certificates.
Assist the public by answering inquires over the phone and in person.
Check bail/bonds for the Criminal Department, if requested.
Prepare assignment and order for payment of Guardian ad Litem (GAL) when ordered by the Court.
Prepare orders and other court documents as needed.
Process passports according to Federal regulations under the guidance of the US Department of State.
Testify in court proceedings when necessary.
Maintain civil and small claims cases specifically assigned to out-of-county judges.
Clerk hearings for civil and small claims cases specifically assigned to out-of-county judges.
Maintain and transmit required documents to the Register of Deeds Office on foreclosure properties.
Submit billing to the Wisconsin Department of Revenue twice a year and title companies on a monthly basis.

Education and/or Experience
High school plus two additional years of formal preparation and two to three years of relevant prior experience; or some formal preparation with a minimum of four years of directly related legal experience. Proven experience in ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals as well as ability to compute rate, ratio, and percent and to draw and interpret bar graphs. Proven experience with legal terminology.
