Position Summary
The Signature Events Coordinator will assist with the planning, coordination and execution of both in-person and virtual community events, with a special priority on signature campus wide, philanthropic, and alumni events. The Signature Events Coordinator will also assist the Director of Campus and Community Events in facilitating other special events on campus as assigned. Sample events include but are not limited to annual signature fundraising dinner & auction, alumni awards ceremony, Commencement, Homecoming, summer camps, on-campus fundraisers and additional programming for Walsh University. Reporting to the Director of Campus & Community Events this position will help support events that raise the community profile and inspire engagement with Walsh University.
Essential Duties and Responsibilities
The essential functions include, but are not limited to the following:
- Fields external client inquiries and event bookings
- Plans and executes campus events including communicating with attendees, tracking RSVPS, and tracking budget and expenses against each event
- Prepares external event and conference contracts, maintaining communication with event organizers during and after event, work with supervisor on event billing
- Collaborates with cross campus and off-campus partners to ensure all details from location, food and beverage, security, travel and IT needs are met
- Oversees event cash flow from receipt to deposit, issuing and sending invoices while keeping track of expenses and revenue
- Utilizes virtual engagement tools and auction/ticketing software, including Zoom, OneCause and Eventbrite to set up virtual events, online auctions and manage online ticket sales
- Serves on various committees at the University as assigned
This role requires the ability to work a flexible schedule to include pre-planned evenings, weekends and occasional travel.

Required Qualifications (Knowledge, Skills, and Abilities)
Must understand and support the Mission, Vision and Code of Ethical Conduct of Walsh University, as a Catholic higher education university as expressed in Ex Corde Ecclesiae, and possess the following:
- Possess excellent project management and customer service skills with strong attention to detail
- Superior written, oral and digital communication with varied constituents
- Excellent work ethic with a passion for event coordination
- Ability to build relationships with internal and external constituents
- Ability to multi-task and adapt when a change is required
- Ability to work independently and with people at all levels both internally and externally
- Ability to work occasional evenings and weekend hours around event time
Education: Bachelor’s Degree Required.
Work Experience:
- One to three years of experience in event planning with direct experience managing vendor relationships
Skills and abilities:
Proficient with Microsoft Office suite and tech savvy
