PURPOSE STATEMENT
This position is responsible for assisting the high school administration team in the management of the attendance office and performing a variety of secretarial duties for the high school office.
ESSENTIAL FUNCTIONS
- Provide exceptional customer service for students, parents, staff and the public; answer a wide variety of telephone and in-person inquiries; promote positive public relations for the district.
- Receive calls from parents/guardians regarding questions with student attendance or discipline; answer questions as appropriate and/or direct to appropriate individuals.
- Coordinates the work of two office support staff for all aspects of attendance.
- Make telephone contacts with parents for excused and unexcused attendance along other front office staff.
- Enter data and retrieve student records on the student records system (Qmlativ); maintain complete and accurate attendance records; prepare reports and statistical data relative to attendance and discipline.
- Prepare attendance letters and court petitions per BECCA procedures.
- Assist Court Services and Child Protective Services. Function as the key contact person for the sheriff's department when needed.
- Maintain student enrollment records and provide assistance in monthly enrollment count.
- Complete, review, organize and store student attendance and discipline files.
- Perform a variety of secretarial tasks such as compiling and organizing information for administrators, including, word processing, spreadsheet data base management, and miscellaneous activities.
- Be a role model for students and interact positively with students, parents, staff and the public.
- Model appropriate and cooperative behavior, including protecting confidential information.
OTHER FUNCTIONS
- May serve on various district committees and/or departmental work teams.
- Perform related duties consistent with the scope and intent of the position.
REPORTING RELATIONSHIPS
- Reports to the school principal and/or principal designee.
- Provides guidance to designated office support staff.
MENTAL DEMANDS
- Experiences frequent interruptions and shifting priorities.
- Must occasionally work with distraught or difficult parents and students.
PHYSICAL DEMANDS
- Ability to lift and/or move up to ten (10) pounds.
MINIMUM QUALIFICATIONS
Education and Experience
- High School diploma or GED; college level coursework preferred.
- Education, training, skills, and experience necessary to carry out the assignment including two (2) years successful secretarial experience.
- Demonstrated proficiency with computer programs and spreadsheets (Word, Excel, etc).
- Knowledge of Skyward system preferred.

- Bilingual English/Spanish preferred.
- Knowledge/awareness of own cultural identity and how this influences behavior, and desire to learn about the cultural identity of others.
- Ability to establish and nurture an environment that promotes cultural competence and equitable treatment of staff, students, and patrons of the district.
- Ability to communicate effectively, establish and maintain effective working relationships with students, parents, staff and the public.
- Strong communication skills both in person and on the telephone.
- Effective customer service and public relations skills; confidence in dealing with the public.
- Ability to attend to detail with accuracy.
- Ability to set up and maintain accurate files and records.
- Ability to organize and set priorities while experiencing frequent interruptions.
- Required to maintain confidentiality.
Licenses/Special Requirements
- Requires fingerprinting and background check to determine that there have been no convictions involving physical molestation, abuse, injury or neglect of a minor.
- Must complete Walla Walla Public Schools Risk Management and Bloodborne Pathogens Training upon hire.
TERMS OF EMPLOYMENT
Secretary II on the PSE Classified Salary Schedule A
Eight (8) hours per day, five (5) days per week, 209 days per school year, PSE Salary Schedule, Retirement, SEBB Benefits, 9 Holidays, Paid Sick Leave
