Summary of position:
The Medical Receptionist will assist with daily office, clerical, and billing tasks at our Roxbury site. The Medical Receptionist assists with ensuring that our office operations run smoothly, and promotes a welcoming culture, greeting all who enter our site. The Medical Receptionist will provide administrative support to both Walker Community Counseling and the Early Childhood Mental Health Consultation programs housed in Roxbury, as well as be a point person for site specific deliveries, facilities requests, and program supplies. The ideal candidate is, above all, an organized and competent professional with excellent verbal and written communication skills with strong attention to detail. This position requires individuals to manage multiple tasks concurrently and efficiently and is a key member in supporting the overall success of Walker’s programming in Boston.
Education and Licensure
- Required:
- High school diploma
- Preferred:
- Bachelors degree from an accredited university, preferably in a related field
Experience
- Required:
- Strong computer skills
- Proficiency in use of Electronic Health Records
- Experience working with Microsoft Office and Excel
- Excellent oral and written communication skills, and demonstrated ability to produce written reports in a timely manner
- An understanding of medical terminology and billing activities
- Strong customer service skills
- Preferred:
- Experience working with Medicaid funded programs
- Knowledge of third-party billing systems

Essential functions:
Walker Community Counseling:
- Verify insurance coverage for WCC-Roxbury clients prior to admission and throughout treatment
- Create and maintain electronic medical record for client(s)
- Obtain, track, and maintain authorizations for services
- Interface with Billing Manager to ensure that claims are submitted and paid
- Prepare and mail patient statements
- Ongoing collaboration with Medical Receptionist and Billing Manager on Needham Campus
- Run weekly reports in electronic medical record
Early Childhood Mental Health Consultation:
- Manage program’s inbox and respond to inquiries and referrals for services
- Support data entry for monthly reports to EEC
Roxbury Office Space:
- Manage front desk duties including: maintaining waiting area, answering phones, submitting facilities requests, receiving deliveries
- Maintain office appearance by working closely with facilities and ensuring office is presentable.
- Organize office operations and procedures, including faxing, ordering supplies, and maintaining cash log
- Establish and monitor the office filing system to ensure information is organized, complete, and adheres to DPH guidelines
- Attend staff meetings and trainings as required
- All other duties, as assigned.
