Walker Family Services is seeking a reliable, organized, and proactive Administrative Coordinator to support front office operations within a fast-paced mental health program in an excellent full-time position. The successful candidate will have a collaborative, approachable work style, and has a highly polished presence. The candidate should be exceptionally well-organized, work with a sense of urgency, and proven ability to manage internal and external communications for all levels of programs. The successful candidate will need to operate with flexibility and integrity.
Duties and Responsibilities:
- Greet clients, visitors, and staff while maintaining a professional front office environment
- Manage front desk operations, calls, and daily workflow
- Coordinate Medicaid transportation and standing orders
- Perform data entry and maintain accurate records in EMR systems
- Organize and secure confidential documentation in compliance with HIPAA
- Support administrative functions across Core and Peer Support programs
- Maintain facility organization and ensure a clean, welcoming environment
- Communicate with caregivers and providers to support client coordination
- Complete follow-up calls for absent clients
- Track and update daily client attendance logs
Job Qualifications:
- High school diploma or equivalent required
- Minimum of 2 years of administrative or front office experience
- Experience in a mental health or healthcare setting preferred
- Proficient in Microsoft Office Suite (Outlook, Teams, Word, Excel, PowerPoint)
- Strong ability to work independently while maintaining confidentiality (HIPAA compliant)
- Ability to thrive in a fast-paced, team-oriented environment and manage multiple priorities
- Excellent organizational, written, and verbal communication skills
- Professional appearance and positive attitude required
- Familiarity with Medicaid transportation and standing orders preferred
