Admissions & Community Outreach Coordinator, Full-Time

Location: Waldorf School of Princeton - Onsite

Reports To: School Administrator

Position Summary

The Waldorf School of Princeton (WSP) seeks a full-time Admissions & Community Outreach Coordinator to support admissions, enrollment, family engagement, community outreach, and school communications.

This role serves as a warm and welcoming first point of contact for prospective families and helps guide them from initial inquiry through enrollment. The Coordinator will help families experience the values, programs, and educational philosophy of Waldorf education in a clear, thoughtful, and accessible way.

The right candidate will be organized, relationship-centered, and comfortable working closely with families, faculty, administration, and community partners. This position requires flexibility, including occasional evenings, weekends, school breaks, and summer events when necessary for tours, open houses, outreach opportunities, and family engagement events.

Key ResponsibilitiesAdmissions & Enrollment

● Receive, respond to, and track prospective family inquiries by phone, email, and digital platforms.

● Guide families through the admissions process, including inquiry, tour, application, interview or visit day, admissions decision, enrollment, and onboarding.

● Track prospective families’ progress using the school’s admissions system or CRM.

● Offer campus and classroom tours to prospective families and students when necessary, during breaks, summer, or weekends.

● Communicate the principles and values of Waldorf education and the programs offered at WSP in a warm, clear, and family-centered manner.

● Coordinate with faculty as students move through the admissions process, including sharing application information, scheduling interviews and visit days, gathering feedback, and supporting final admissions decisions.

● Work with the Faculty Chair and Student Support teams, when needed, to understand student needs and help determine whether the school can appropriately support the child.

● Communicate admissions decisions, enrollment deadlines, required documents, and next steps to families.

● Collaborate with the Registrar and Business Office regarding enrollment tracking, tuition details, financial aid applications, and family paperwork.

● Continue to check in with and support families throughout the enrollment and discernment process.

Re-Enrollment & Family Engagement

● Lead and support re-enrollment efforts in collaboration with the School Administrator, faculty, Registrar, Business Office, and school leadership.

● Help current families feel informed, connected, and supported throughout the re-enrollment season.

● Assist families with questions or concerns and direct them to the appropriate contact, such as a teacher, School Administrator, Business Office, Registrar, or Student Support team member.

● Work with faculty and leadership to offer meaningful glimpses into classroom life and the grades ahead to support family understanding and long-term connection.

● Attend Parent-Caregiver Association meetings when appropriate to support community building, welcome new families, and strengthen parent ambassadorship.

Community Outreach & School Communications

● Build relationships with local families, early childhood communities, community organizations, and mission-aligned partners.

● Represent WSP at school events and outside community events in a warm, professional, and mission-centered manner.

● Plan and coordinate open houses, parent visits, student visit days, community gatherings, and admissions-related events.

● Assist with school communications related to admissions, enrollment, events, newsletters, flyers, website updates, social media, and family outreach with innovative and targeted messaging.

● Help ensure that school communications are warm, accurate, consistent, and reflective of Waldorf education.

● Reliably gather and share family feedback, inquiry trends, and community observations with school leadership to support thoughtful planning and enrollment management.

Enrollment Tracking & Reporting

● Maintain accurate admissions and enrollment records, including inquiries, tours, applications, admissions decisions, enrollment status, event attendance, and follow-up notes.

● Provide regular updates to the School Administrator and leadership regarding admissions activity, enrollment trends, family feedback, and outreach opportunities.

● Support short-term and long-term admissions and enrollment planning, creating benchmarks that are easily shared with leadership groups at the school.

● Create and maintain clear tracking documents for admissions and re-enrollment.

● Attend administrative, leadership, faculty, or program-level meetings when appropriate to stay connected to school life and enrollment needs.

Qualifications

● 2-4 years of experience in admissions, enrollment, community outreach, school communications, school administration, nonprofit work, or a related field.

● Excellent written and verbal communication skills.

● Interest and experience in finding, leading, and supporting a school or non-profit at mission-aligned off-site outreach events.

● Warm, welcoming, and professional presence with families.

● Strong organization, follow-through, attention to detail, and discretion.

● Comfort using email, spreadsheets, admissions systems, basic website updates, social media, and digital communication tools.

● Interest in Waldorf education and willingness to learn and communicate its philosophy with sincerity and clarity.

● Ability to manage multiple priorities with flexibility, care, and good judgment.

● Experience in an independent school, early childhood setting, nonprofit, or mission-driven organization preferred.

Details

Schedule: Full-time. Some evenings, weekends, school breaks, and summer events may be required based on admissions and outreach needs.

Compensation: $55,000–$65,000 annually, flexible based on experience.

Location: Primarily on-site at Waldorf School of Princeton.
