We are currently seeking a qualified medical professional with proven experience supervising a doctor’s office, outpatient clinic, or similar medical facility to join our leadership team as a Clinic Supervisor.
Role Overview:
As a Clinic Supervisor, you will serve as the go-to expert for employee queries, ensuring smooth operations and exceptional patient experiences. Your role involves conducting brief morning and afternoon meetings to align staff, managing schedules, addressing escalations, and optimizing workflow efficiency.
Key Responsibilities:
- Employee Support: Respond to staff inquiries, providing guidance and support as needed.Consult with the appropriate SME (subject matter experts) to provide the most accurate answers.
- Daily Meetings: Lead brief morning and afternoon sessions with staff to prepare for the day, maximizing scheduling efficiency, and enhancing patient satisfaction and safety.
- Schedule Management: Maintain balanced schedules for providers, overseeing patient arrivals, check-in/out times, and procedure room durations, while managing late patient situations.
- Issue Resolution: Act as the primary contact for addressing escalations, including provider and patient complaints, as well as employee performance concerns affecting operations.
- Policy Compliance: Ensure staff adherence to all policies and standard operating procedures (SOPs), promoting consistency and quality care delivery.
- Performance Monitoring: Track individual and team performance, identifying trends and addressing both positive achievements and areas for improvement.
- Training Coordination: Collaborate with the Clinic Manager to facilitate staff training on quality care, process enhancements, and compliance matters, including HIPAA/OSHA requirements.
- Staffing Oversight: Assist in managing time-off requests and call-ins to maintain adequate staffing levels, supporting seamless clinic operations.
- Reporting: Generate and analyze reports to enhance workflow efficiency, team productivity, and customer satisfaction, sharing insights with management.
- Inventory Management: Maintain inventory control for medical supplies, Durable Medical Equipment (DME), and CBD oil, ensuring availability for special procedures and daily operations.
- Compliance Responsibilities: Serve as the point of contact for Radiation Compliance, ensuring adherence to regulatory standards.
- Financial Duties: Oversee daily cash, check, and credit card payments reconciliation, including bank deposits, and manage eClinicalWorks support tickets for the assigned location(s).
- Administrative Tasks: Maintain clinical checklists, monitor fax communications, and perform any other duties delegated by the Clinic Manager to support clinic operations.
Competencies:
- Previous experience in a supervisory or leadership role within a healthcare setting.
- Strong organizational skills with the ability to manage multiple tasks efficiently.
- Excellent communication and interpersonal skills.
- Proficiency in using electronic medical record (EMR) systems and Microsoft Office suite.
- Understanding of HIPAA and OSHA regulations.
- Flexibility to adapt to changing priorities and responsibilities.

Required Education and Experience
- Associate's degree in a relevant field or an equivalent combination of education, training, and experience.
- 2 years of successful, progressive supervisory experience within a specialty medical practice or setting or equivalent environment managing a minimum of 10 employees.
- 1 - 2 years of EMR experience.

- Bachelor’s degree in a relevant field or an equivalent combination of education, training, and experience.
- 2-3 years of successful, progressive supervisory experience within a specialty medical practice or setting or equivalent environment.
