What are the responsibilities and job description for the Client Intake Coordinator position at Wake Family Law Group?
Wake Family Law Group is seeking a personable, organized, and professional Client Intake Coordinator to join our team.
For many prospective clients, the Client Intake Coordinator is their first interaction with our firm. We are looking for someone who can make people feel heard and comfortable while also efficiently gathering information, identifying their needs, and helping connect them with the right attorney. This position is ideal for someone who genuinely enjoys talking with people, communicates well by phone and email, and can remain calm and professional when working with individuals who may be dealing with difficult or emotional family situations.
What You’ll Do
- Respond to calls and online inquiries from prospective clients
- Speak with potential clients to understand the general nature of their legal needs
- Gather and accurately enter intake and conflict-check information
- Help determine which attorney may be the best fit based on the type and complexity of the matter
- Schedule consultations and explain the consultation process
- Follow up with prospective clients as appropriate
- Maintain accurate intake records and track potential new matters
- Coordinate with attorneys, paralegals, and administrative staff regarding new client inquiries
- Provide a welcoming, professional experience from the very first interaction with our firm
What We’re Looking For
The right person will be:
- Warm, confident, and comfortable speaking with people
- An excellent communicator and listener
- Professional and discreet with confidential information
- Highly organized and attentive to detail
- Able to manage multiple calls, emails, and follow-ups without losing track of details
- Comfortable asking questions and gathering information from people who may be upset, anxious, or overwhelmed
- Able to exercise good judgment rather than simply following a script
- Dependable, proactive, and comfortable working as part of a busy team
Experience in a law firm, professional services environment, customer service, sales, hospitality, or another client-facing position is helpful. Family law experience is a plus but is not required.
