SUMMER LEARNING SECRETARY POSITION
INTERNAL ONLY
Position Title: Building Secretary for Summer Learning Program; 2 positions available
Report To: Summer Program Administrator & Site Coordinator
Classification: PSE Union Represented Position, FLSA Non-Supervisory, Non-Exempt
Compensation: PSE Salary Schedule for Instructional Para Pro
This is an hourly position for summer program only and is paid by timecard submitted by the 10th of each month.
The 2026 Wahluke Summer School Model is to provide in-person instruction to Kinder-8th grade students in reading, mathematics and enrichment, while fostering academic growth, building student confidence, and creating engaging learning experiences that prepare students for success in the upcoming school year.
Wahluke Summer Program Information:
Class Schedule: June 22 - July 28, 2026
Hours of Operation: 7:30 am – 3:30 pm Monday–Thursday
(hours may vary based on program needs)
Basic Function: Provide and coordinate a variety of office and clerical functions to support the Summer Learning Program; assist administrators and staff in ensuring smooth daily operations; provide friendly and helpful service to students, families, staff, and the public; maintain accurate records and support program compliance with district, state, and federal requirements.
Typical Duties & Responsibilities:
- Perform general clerical duties including filing, scheduling, data entry, and records management, document and communication preparation.
- Serve as the primary receptionist by greeting students, families, staff, and visitors; answer phones and respond to inquiries.
- Support student registration, enrollment, and attendance tracking for the summer program.
- Maintain accurate student records, including attendance, contact information, and program participation.
- Assist in communication with families regarding schedules, attendance, and program information (phone calls, letters, translations as needed).
- Coordinate and distribute program materials, mail, and supplies.
- Support staff with copying, preparing instructional materials, and organizing documents.
- Assist with daily attendance monitoring and follow-up for student absences.
- Maintain confidentiality of student and district information at all times.
- Utilize district data systems and software programs for data entry and reporting.
- Assist administrators and staff in maintaining an organized, efficient, and welcoming office environment.
- Provide basic first aid assistance as needed and follow established procedures and overall custodial care.
- Support coordination of substitute staff, volunteers, and visitors as needed.
- Track deadlines and assist with preparation of required reports.
- Collaborate with Migrant Program staff, paraeducators, and teachers to support student needs.
- Communicate in a respectful, friendly and helpful manner with parents as requested or assigned, keeping in mind that communications about a student's educational performance and progress lies with the instructor.
- Supervise students in halls, study halls, libraries, playgrounds, learning centers, cafeterias, transportation areas and crossing guard area. Included work outside in all types of weather.
- May be assigned to accompany groups of students on field trips and other outings.
- Perform other duties as assigned to ensure efficient program operation.
Qualifications:
- High School diploma or G.E.D.
- Bilingual/Biliterate in English and Spanish required.
- Demonstrated strong organizational and customer service skills.
- Ability to communicate effectively with students, families, and staff.
- Experience with office procedures, record keeping, and data entry.
- Proficiency in basic computer applications (Google Suite, Microsoft Office).
- Ability to maintain confidentiality and handle sensitive information.
- Ability to work independently and as part of a team.
- Flexibility and ability to adapt to a fast-paced summer program environment.
- Positive attitude and professional demeanor.
- Able to model appropriate professional behavior.
- Ability to solve practical problems, apply appropriate judgment and deal with a variety of situations where only limited standardization exists.
- Ability to maneuver to perform the functions associated with activities including, kneeling, bending, squatting, lifting.
- Expected to wear appropriate and safe attire and grooming for the learning environment.
- Ability to work collaboratively, respectively and civilly with coworkers, students, families and community.
- Preference extended to candidates available for the entire length of assignment.
- Passing required State and FBI background checks.
- Able and expected to attend work as scheduled.
Preferred Qualifications:
- Experience working in a school or summer program setting.
- Experience working with diverse student populations, including migrant students and families.
- Knowledge of student information systems and attendance tracking.

Physical Requirements: This position typically requires: stooping, kneeling, crouching, reaching, standing, walking, pushing, pulling, lifting, finger dexterity, grasping, talking, hearing, seeing, and repetitive motions. Medium Work: Ability to lift up to 50 pounds occasionally with assistance, and/or up to 20 pounds frequently, and/or up to 10 pounds constantly to move can carry objects. Incumbents may be subjected to moving mechanical parts, odors, chemicals, extreme temperatures, inadequate lighting, workspace restrictions, and intense noises.
