We are seeking a dependable, organized, and detail-oriented Office & People Operations Coordinator to support the daily operations of our small construction company. This position will assist with human resources administration, employee onboarding, payroll preparation and processing, compliance tracking, accounting support, project documentation, and general office coordination.
The ideal candidate is someone who enjoys keeping processes organized, following through on details, maintaining accurate records, and supporting the operations of the company. This role requires confidentiality, professionalism, strong communication skills, and the ability to manage multiple priorities in a small business setting.
This is a hands-on administrative role. The successful candidate does not need to know everything on day one, but should be willing to learn, take ownership of recurring responsibilities, ask good questions, and help keep the office running smoothly.
Key Responsibilities:
People Operations & HR Administration
- Assist with job postings, applicant tracking, interview scheduling, and hiring-related communication.
- Prepare and organize new hire paperwork, onboarding documents, employee forms, and required acknowledgments.
- Maintain accurate and confidential employee files.
- Track employee contact information, employment documents, training records, certifications, and policy acknowledgements.
- Assist with employee onboarding and offboarding.
- Support benefits enrollment and administration.
- Assist with PTO, sick time and leave tracking.
- Help maintain employee communications, reminders, and follow-up on required paperwork.
- Maintain confidentiality regarding employee, payroll, personnel, and company information.
- Escalate employee relations, disciplinary, compensation, legal, or policy interpretation matters to management.
Payroll Processing
- Review timesheets daily, check for missing or incomplete information, and follow up with employees, supervisors, or management regarding any missing information or discrepancies.
- Process bi-weekly payroll, ensuring accuracy and compliance with federal, state and local regulations.
- Assist with payroll-related documentation, including wage garnishments, employee changes, direct deposit forms, tax forms, and payroll records.
- Maintain payroll files and supporting records in an organized and confidential manner and assist with payroll-related reporting, filing, and audit preparation as needed.
Office Administration
- Assist with daily office operations including filing, scanning, data entry, mail, document organization, and general administrative support.
- Answer phones, respond to routine emails, and direct questions to the appropriate person.
- Maintain organized filing systems.
- Help create, update and maintain office forms, spreadsheets, logs, checklists, and standard operating procedures.
- Track recurring deadlines, renewals, reports, and follow-up items.
- Assist with scheduling, meeting preparation, note-taking, and internal communication as needed.
- Support management with administrative projects, research, and document preparation.
- Help improve office organization, consistency, and workflow.
Accounting & Financial Administration Support
- Assist with accounts payable by organizing invoices, matching backup, entering information, and following up on missing documentation.
- Maintain vendor files, W-9s, certificates of insurance, and related records.
- Organize receipts, statements, deposits, credit card backup, and other accounting records.
Project, Compliance & Construction Administration
- Assist with setting up and maintaining project files, including contracts, change orders, insurance documents, permits, subcontractor paperwork and closeout documents.
- Track missing project documentation and follow up with internal staff, vendors, subcontractors, or customers as needed.
- Assist with gathering and organizing backup for billing, job costing, prequalification forms, and compliance requirements.
- Maintain safety training records, employee certifications, and compliance-related files.
