Primary Purpose:
Process all data and reporting related to employee pay in a timely manner and act as the primary contact for employees on all pay related issues.
Qualifications:
Education/Certification:
High School Diploma or GED
Special Knowledge/Skills:
Knowledge of basic accounting procedures
Ability to maintain accurate records
Ability to use calculator (10-key by touch)
Ability to use personal computer and software to create spreadsheets, databases, and do word processing
Proficiency in keyboarding and file maintenance
Ability to work with numbers in accurate and rapid manner to meet established deadlines
Ability to communicate effectively
Excellent organizational, multi-tasking, and prioritizing skills
Minimum Experience:
Three years clerical experience, payroll or accounting experience preferred
Major Responsibilities and Duties:
1. Prepare and process worksheets for new hires, transfers, salary adjustments, terminations, and FMLA.
2. Calculate and process "pay related forms", including but not limited to: extra-duty, overtime, docking wages, and supplemental pay.
3. Calculate and process garnishments and deductions, such as, child support, bankruptcy, IRS levies, student loans, dues, and other special required deductions
4. Verify and enter employee financial information for direct deposit and W4's.
5. Review time cards to ensure all time worked is processed accurately and timely according to the payroll cutoff schedule. Consult with employees and time card managers to correct errors.
6. Answer inquiries and provide information to district employees in regards to their payroll check; research and resolve payroll problems and discrepancies.
7. Prepare payroll checks for all employees.
8. Serve as back up to payroll supervisor in all functions such as transmittal of ACH files, positive pay files and payroll reports including, but not limited to those required by the Internal Revenue Service, Texas Workforce Commission, Texas Retirement System, TEAM, and Attorney General's Office; ensure timely deposit of all related payments.
9. Maintain an effective filing system and maintenance of payroll records.
10. Conduct training for the time clock system as well as providing assistance to those who use the time tracking system. Conduct training on payroll and time cards at the Secretary trainings.
11. Present payroll information at the New Employee Orientation.
12. Scan and upload all payroll related documents in TEAMS.
13. Serve as back up to Payroll Clerk for completion of employment verification forms.
14. Create and update PowerPoint for new employee orientations and trainings and any payroll related handouts as needed.
15. Ensure the confidentiality of all payroll data.
16. Exhibit a positive, professional attitude and demeanor and maintain a positive interpersonal relationship with district employees.
17. Perform other duties as assigned.
