Marketing & Communications Program Manager

PRIMARY DUTIES: 

 

  • Develop and manage project timelines, task assignments, and deliverable schedules 

  • Ensure marketing initiatives are completed on time and aligned with organizational priorities 

  • Identify bottlenecks or competing demands and escalate as appropriate 

  • Maintain and manage MarCom technology platforms (CMS, CRM integrations, email systems, reputation management tools, etc.) 

  • Ensure data integrity and system functionality 

  • Monitor platform usage and identify opportunities for optimization 

  • Maintain organized digital asset libraries and shared documentation systems 

  • Track and report on key marketing and communications metrics 

  • Maintain dashboards and reporting frameworks 

  • Provide regular updates on campaign performance and operational throughput 

  • Partner with clinic leadership and internal departments to support communication initiatives 

  • Facilitate collaboration across teams to ensure smooth execution of marketing programs 

 

OTHER DUTIES: 

 

  • Assist with administrative tasks and errands as needed 

  • Serve on internal or external committees and participate in planning 

  • Undertake special projects as assigned by the CPO or Director of Marketing and Communications 

 

Qualifications:

REPORTS TO: Director of Marketing & Communications, or their delegee 

 

EDUCATION & EXPERIENCE: Bachelor's degree in Communications, Marketing, Public Relations, Journalism, Business Administration, or related field. Equivalent experience may be substituted for education and experience requirements.  Three to five years of experience in marketing operations, communications coordination, program management, or related role required. 

 

SKILLS: Exceptional organizational and time management, with a proven ability to manage multiple concurrent programs, track detailed workflows, and meet deadlines in structured, deadline-driven environments. Strong analytical and problem-solving skills, including the ability to identify process inefficiencies and implement system improvements. Demonstrated experience in project and program management, including intake coordination, timeline development, deliverable tracking, and performance measurement. High attention to detail with a systems-oriented mindset and commitment to operational consistency.  Proficiency with relevant marketing and communications technology platforms, including Microsoft Office Suite, project management systems, CRM platforms, website CMS tools, email marketing software, reputation management platforms, and digital asset management systems. 

PHYSICAL AND MENTAL REQUIREMENTS: 

 

  • Visual and auditory accuracy 

  • Shift length - 8 hours 

  • Indoor setting 

  • Continuous use of computer and calculator 

  • Long periods of sitting 

  • Frequent use of telephone 

  • Continuous repetitive grasping and manipulation of both hands 

  • Continuous conversational communication 

  • Occasional reaching, walking, squatting, bending, kneeling, twisting and climbing 

  • Occasionally carrying, lifting, pushing and pulling up to 25 lbs. 

  • Occasionally working in confined, noisy, dusty areas 

  • Understand/carry out simple/detailed, oral/written instructions 

  • Memorize and retain instructions 

  • Read and interpret detailed specifications
