Key Responsibilities
- Prepare, review, edit, and finalize invoices for professional services in accordance with client billing requirements and fee arrangements.
- Generate and revise pre-bills, process final invoices, and distribute bills via email or mail.
- Maintain detailed billing records, adjustments, and correspondence related to billing activity and dispute resolution.
- Utilize legal billing and e-billing systems to manage invoicing workflows and maintain billing accuracy.
- Process electronic invoices in LEDES format through various e-billing platforms.
- Update timekeeper rates, manage matter setups, and monitor invoice submission statuses within e-billing systems.
- Track reimbursable expenses, disbursements, and billable costs associated with client matters.
- Prepare billing reports, aging analysis, and summaries for attorneys and leadership.
- Respond promptly to billing inquiries, discrepancies, and payment-related issues while maintaining a high level of client service.
- Maintain organized billing databases including client matter details, fee structures, and payment terms.
- Collaborate with attorneys, paralegals, and administrative staff to resolve billing issues and improve billing processes.
- Bachelor's degree in Accounting, Finance, Information Technology, or a related field preferred; equivalent experience considered.
- Minimum 3 years of legal billing experience within a law firm environment required.
- Experience with electronic billing platforms and invoice tracking processes.
- Strong understanding of LEDES billing formats; familiarity with ASCII and XML formats is a plus.
- Experience with legal billing software such as Aderant and e-billing systems including BillBlast, Serengeti, Passport, or Tymetrix preferred.
- Proficiency in Microsoft Office applications, especially Excel and Word.
- Excellent attention to detail, organizational, and problem-solving skills.
- Strong written and verbal communication skills with the ability to interact professionally with attorneys, clients, and staff.
- Ability to manage multiple priorities in a fast-paced environment while maintaining accuracy and professionalism.
