Job Summary
We are seeking a proactive and detail-oriented Acupuncture Office Assistant to join our vibrant healthcare team. Duties
- Greet patients warmly, verify insurance coverage, and assist with intake procedures to ensure a seamless check-in process
- Schedule appointments efficiently using EMR (Electronic Medical Record) systems
- Verify insurance benefits, process payments, and perform accurate medical collections in compliance with HIPAA regulations
- Maintain and organize patient records, ensuring all documentation review, CPT coding, ICD-9/10 coding, and care plans are correctly entered into EMR systems
- Assist with billing procedures including medical billing, ICD coding, and insurance verification
- Manage phone system with professional phone etiquette, answer inquiries, and coordinate appointment reminders
- Support front desk operations by filing documents, managing medical records, and ensuring office supplies are stocked for daily clinic needs
- Collaborate with clinical staff to facilitate smooth patient flow and ensure accurate documentation of treatment plans and progress notes
- Utilize computer skills to update health information management systems like Eaglesoft or Dentrix as needed for dental or clinic-specific workflows
Experience
- Prior experience working in a medical office or dental clinic environment is highly preferred
- Familiarity with medical terminology including CPT codes, ICD-9/10 codes, ICD coding standards, and care plan documentation
- Experience with insurance verification processes for private insurers
- Strong clerical skills including filing, data entry (10 key typing), and document review in a fast-paced setting
- Excellent customer service skills with the ability to communicate effectively over the phone and in person
- Bilingual abilities are a plus to serve diverse patient populations effectively
- Demonstrated office management skills including appointment scheduling, medical administrative support
- Proficiency in Microsoft Office Suite (Word, Excel) along with familiarity with health information management software such as AcuSimple is desirable
- Previous hospital or healthcare facility experience is advantageous but not mandatory
