Job Summary

Assist in property management and project management within the Commercial Development and Maintenance teams of the W.C. Bradley Co. Real Estate Division. Provide high quality customer support to all tenants through timely follow-up and proactive property management. Design new processes or programs that improve the operation of or add value to the Commercial Development and Maintenance teams. Lead or assist in organizing and carrying out activities and projects that are designed to show tenant appreciation and/or build goodwill.

Duties and Responsibilities

Property Management

  • Responsible for billing of monthly rents and any exceptions (ad valorem taxes, share of common expenses, etc.) and for maintaining account receivable records on all tenants. Ensures that all maintenance work a tenant has requested with responsibility for payment is billed correctly and timely. Maintains contact with tenants on past due amounts.
  • Initiate design and development of new systems and processes, or enhancement of current systems, to improve all aspects of the billing function, maintenance function, leasing function, etc.
  • Receives and handles all tenant calls (i.e., repairs, replacements, expansions, renewals, etc.). Communicates with necessary team members to ensure all requests are addressed and processed in a timely manner.
  • Visit tenants on a consistent basis (quarterly or semi-annually) to ensure tenant satisfaction and inspect to ensure facility is working properly.
  • Coordinates with Maintenance Team to ensure that all incoming work orders are completed. Also, ensures data is accurately entered into the work order database in a timely manner. This database is then utilized on a monthly basis to compile journal entries to expense to appropriate cost center (building).
  • Develop, maintain and modify, as needed, a Preventive Maintenance Program for all properties to provide a proactive approach to property maintenance. This system includes all equipment (HVAC, plumbing, etc.) and exteriors to determine problem areas and help assess areas for improvement.
  • Upgrade existing maintenance work order system to address any current preventive maintenance issues and to allow tracking of customer calls via the Oracle system for billing and maintenance history.
  • Prepares and monitors budgets for rental properties on an individual basis.
  • Approves and analyzes all invoices for rental properties. Analyzes invoices, such as utility services, to ensure there are no significant changes indicating potential problem areas (i.e., billing discrepancies due to inaccurate reading of meters or sub-meters, running toilets or sprinkler heads, etc.).
  • Handles bid process for recurring/preventive maintenance of properties including landscaping, painting, janitorial work, etc.

Project Management

  • Monitors lease expiration dates and expansion needs of all tenants. Assists Director in leasing of new and existing space and in lease preparations including all aspects from the initial marketing through the actual leasing of the property.
  • Assists Director and Construction Manager in space renovation planning for new and existing tenants.

Other Duties

  • Maintain Tenant Rent Roll summary by project, including contact name, rental rate, and other major details.
  • Assists Director in legal matters that arise including bankruptcies, liability cases, and other miscellaneous legalities.
  • Coordinate events and activities at various properties, as needed. Events may range from appreciation luncheons to full-scale property parties/celebrations.
  • Other duties as assigned.

Qualification Requirements

  • Five to seven years of professional experience in Real Estate consisting of property management and/or commercial leasing experience. Some prior experience in working with budgets or in project analysis is highly preferred.
  • Associates Degree in Real Estate or Business Administration required, equivalent/related coursework without degree will be considered.

Knowledge, Skills And Abilities

  • Ability to make solid business decisions.
  • Demonstrated intermediate to advanced skills in Microsoft Word and Excel.
  • Very good written and verbal skills and highly organized.
  • Must have excellent interpersonal skills and is a team player.
  • Must be self-motivated and have the ability to function with little direct supervision.
