Summary
This position is responsible for maintaining the accuracy and integrity of accounting data related to warranty, billing, and receivables across all W&B branches. This position performs reconciliations, prepares journal entries, manages tax-exempt records, and supports the month-end close process. The role requires sound judgment, analytical ability, and discretion in resolving financial discrepancies and implementing improvements to support operational efficiency and compliance.
This position works closely with the Controller, A/P, and branch administrative teams to ensure proper financial recording of Carrier Priority and Hyundai warranty transactions, billing corrections, and clearing account activity.
Essential Duties and Responsibilities
- Prepare and review A/R and A/P out-of-balance reports daily; investigate and correct discrepancies.
- Analyze general ledger activity and ensure proper account coding for vendor invoices and adjustments.
- Prepare journal entries for customer credits, write-offs, and error corrections.
- Reconcile subledgers (A/R, warranty receivables, clearing accounts) to the general ledger.
- Support month-end close activities by providing reconciliations and journal entries for review.
- Process Carrier Priority warranty credits, chargebacks, and disputes.
- Maintain warranty receivable schedules and monitor aged claims.
- Manage tax exemption certificates in Avalara; ensure compliance with state and local requirements.
- Coordinate with A/P, branch admins, and service managers to correct billing errors and ensure invoice accuracy.
- Collaborate with IT and operations to resolve Karmak Fusion or Carrier Priority integration issues.
- Identify process improvements to enhance accuracy and reduce out-of-balance conditions.
- Provide training and assistance to branch personnel on warranty billing procedures and best practices.
Education/Training/Experience Requirements
- Bachelor’s degree in Accounting, Finance, or related field required.
- 3–5 years of accounting experience; dealership, heavy equipment, or service industry preferred.
- Proficient in Karmak Fusion, Carrier Priority, and Avalara (or similar ERP/financial systems); advanced Excel (pivot tables, lookups, variance analysis).
- High attention to detail, analytical judgment, and effective cross-department communication.
