Position Summary

Load Planners are part of the Operations department. This is a salaried, FLSA-exempt role that reports to the Chief Operating Officer.

W&A Distribution relies on its Load Planners to manifest and cost-effectively route shipments per customer delivery requests and company schedules. By maximizing the amount of freight per load, Load Planners support customer relationships and the achievement of company objectives.

Successful Load Planners seek additional freight from frequent and historic customers to maximize trailer use and the net revenue per load. By proactively communicating with customers about future needs, Load Planners support W&A Distribution’s purpose of delivering distinctive distribution solutions.

  • The working environment is a modern, temperature-controlled office setting.
  • No special measures or equipment are required for personal protection.

Physical Considerations

  • Regularly remain stationed at a desk
  • Consistent, daily use of phones and computers
  • Able to lift and carry up to 40 lbs occasionally from floor to waist and from waist to floor

Knowledge:

  • High school diploma or equivalent
  • Minimum of one year of experience working in motor carrier transportation
  • Formal certifications or credentialing accepted in place of work experience.
  • Fluent in English with strong verbal and written communication abilities
  • Use technology including Office 365, online load boards, document indexing software, transportation management system (TMS), multiline phones, and multi-function printers.
  • Strong geographic knowledge of the United States
  • Understanding of DOT regulations including safety regulations and highway restrictions.

Dependability:

  • Complete work as scheduled and assigned by the Chief Operating Officer.
  • Collaborate to determine daily and weekly priorities to support the achievement of department goals.
  • Maintain confidentiality of employee records and business activities.
  • Manifest and cost-effectively route shipments according to customer delivery requests and company schedules.
  • Maximize the amount of freight and net revenue per load
  • Assist in order entry as needed
  • Adapt to changing priorities, effectively shifting focus and returning to complete all tasks accurately.

Communication:

  • Maintain professional cooperative relationships with company personnel, customers, and vendors.
  • Deliver department updates, reports, and projects to the COO.
  • Provide clear, concise, and timely information to relevant stakeholders.
  • Assist in maintaining customer and employee profiles with current contact information.
  • Coordinate loading schedule with warehouse and dock personnel.
  • Notify consignee(s) that the company is in possession of their shipment and establish tentative delivery details. Confirm delivery by phone, fax, or e-mail once an accurate delivery time and date have been established.
  • Seek out additional freight from existing customers and load boards
  • Inform remaining customers of possible scheduling complications if a driver is delayed.

Perseverance:

  • Fulfill scheduled work hours. Performance of duties on an on-call basis after hours may be required.
  • Provide advance notice and proper documentation when time off is needed.
  • Support customer retention and attraction by working to meet customer needs and by acting as a collaborative partner in problem-solving issues or complications with shipments
  • Use all company contacts and resources available to complete reports and processes when data or documents are not provided as expected.
  • Demonstrate emotional intelligence by staying calm and responding objectively under pressure and providing support during challenging times.
  • When it is not possible to work on-site, this position may telecommute on a temporary or limited basis.
  • Follow up and follow through with company and customer contacts to resolve incomplete processes.
  • Collaborate with company contacts and third-party vendors to troubleshoot and optimize software and technology systems.

Pay: $50,000.00 - $65,000.00 per year
