What are the responsibilities and job description for the Pittsford Executive Administrative Assistant Financial Services position at Voya Financial?
Executive Administrative Assistant Financial Services
The Voya Financial Advisors branch office in Pittsford, NY is looking for someone to run the day-to-day operations of our busy financial services firm. This is an in-office position.
The Office Coordinator will manage schedules, prepare advisors for meetings, maintain our client database, track all pending account changes/transactions, answer phones, respond to client requests, manage inbound and outbound mail, order office supplies, and generally offer support wherever it is needed.
This person should be flexible, organized, outgoing, customer-service oriented, tech savvy, resourceful, and able to work independently once trained.
This can be a full-time position, but it doesnt have to be. We are a small entrepreneurial firm, where we work to live, not live to work. We understand that a traditional 9-5 job is not what everyone is looking for, so we are happy to design a non-traditional schedule for the right person.
Our team is small but mighty. Currently we have three investment advisors and an executive administrative assistant who works remotely. We are hoping to add another person who can work closely with our executive admin to coordinate all aspects of the operation, ensuring that everything is handled efficiently, promptly, and accurately.
We proudly represent a firm that is one of the largest financial services companies in the country and is regularly recognized as one of the worlds most ethical companies. Oftentimes, investment advisors are in the business of making rich people richer. But that is not our forte. We help working Americans mostly school and hospital employees plan for their retirement. And once they retire, we help them make the most of their investment strategy.
If you love tackling a to-do list, thrive in an environment where every day is a little different, enjoy talking to all sorts of people on the phone, get excited about a new Excel spreadsheet (or better yet, a new label maker), and are looking for work-life balance, wed encourage you to apply. A background in financial services would be a plus, but it is not mandatory. A background check and fingerprinting, however, are mandatory.
Pay will be commensurate with experience and will depend on how the position is structured (part-time/full-time, etc.). Benefits and paid time off are negotiable.
