JOB SUMMARY:
Manages and coordinates all office operations for all Behavioral Health programs.
JOB DUTIES/ESSENTIAL FUNCTIONS:
**Manage day-to-day front office operations (phones, scheduling, reception flow, and client check-in/out).
**Answer and route incoming phone calls promptly and courteously.
**Take detailed messages and email them to the correct staff.
**Oversee office supplies, equipment, and facility maintenance requests.
**Receive, sort, and distribute mail and packages.
**Ensure a safe and tidy workspace. (client spaces, drop-in spaces, office, etc.)
**Ensure a professional and welcoming front-office environment.
**Greet and assist clients with check-in, paperwork, and service questions
**Coordinate client appointments with the clinical team.
**Maintain secure electronic filing systems for confidential client information.
**Upload and prep for Dr. Days by validating Medicaid eligibility and ECDI records.
**Scanning prescriptions, Medicaid eligibility, medical cards, and ECDIs in the designated area in the client charts in a timely manner.
**Assist with Medicaid eligibility validation monthly by entering services accurately and notifying appropriate staff of any discrepancies.
**Run appropriate reports daily. (care coordination, release of information, non-compliance, etc.)
**Manage Behavioral Health email and calendar.
**Organize meetings and events as requested by a Program Director or the Vice President
**Participate in meetings to discuss workflow changes and program updates.
**Ensure HIPAA confidentiality in all communications and documentation.
**Maintain professional boundaries and confidentiality at all times.
**Communicate effectively and respectfully with clinicians and leadership.
**Participate in identified Volunteers of America of North Louisiana internal committees related to job duties as appropriate.
**Work on special projects as assigned.
