Job Overview
Volpe Law is seeking a detail-oriented, tech savvy, and client-focused Intake Specialist to join our team. The Intake Specialist will be the first point of contact for potential clients and play a key role in shaping their experience with our firm. This position involves assessing client needs, collecting relevant information, and guiding them through the initial stages of their legal case. The ideal candidate will be organized, empathetic, and possess excellent communication skills.
Key Responsibilities
Client Intake and Screening:
- Serve as the first point of contact for potential clients, responding to inquiries via phone, email, or website forms.
- Conduct initial interviews with prospective clients to gather essential information about their legal issues.
- Assess the nature and urgency of the client’s legal matter and determine whether it fits the firm’s areas of practice.
Data Collection and Management:
- Accurately input client information into the firm’s CRM and case management system.
- Maintain confidential and secure records of all prospective clients.
- Ensure that intake forms and documentation are completed and submitted promptly.
Scheduling and Coordination:
- Schedule consultations or follow-up appointments with attorneys for qualified prospective clients.
- Provide potential clients with any pre-consultation documentation or instructions as needed.
Client Relationship Management:
- Deliver exceptional customer service, addressing client inquiries and providing clear, concise information about the firm’s services.
- Build rapport and maintain a positive relationship with potential clients throughout the intake process.
Collaboration with Legal Teams:
- Communicate with attorneys and paralegals regarding new cases and provide them with comprehensive intake notes.
- Collaborate with the marketing and business development teams to ensure alignment on outreach efforts.
Follow-Up and Client Retention:
- Follow up with prospective clients who have not yet retained the firm to answer questions and provide additional information.
- Assist in ensuring a smooth transition from intake to ongoing case management for new clients.
Qualifications and Skills
Education:
- High school diploma or equivalent required; a bachelor’s degree is preferred.
Experience:
- Previous experience in a law firm or legal environment is preferred but not required.
- Prior experience in customer service, sales, or client-facing roles is highly valued.
Skills:
- Strong communication skills, both verbal and written.
- Excellent organizational skills and attention to detail.
- Ability to handle sensitive information with the utmost discretion and confidentiality.
- Proficiency in Microsoft Office Suite and experience with HubSpot, CRM, and legal case management software is necessary.
