About the Opportunity
Our client is an early-stage company operating at the intersection of enterprise data and frontier AI. They are building infrastructure that enables the next generation of AI systems by sourcing and structuring real-world operational data at scale.
This is a high-ownership environment with a small, fast-moving team. They are looking for individuals who build, take initiative, and operate with urgency.
This search is being conducted on a retained basis.
The Role
We are seeking a Head of Operations to build and own the operational infrastructure from the ground up. This is not a maintenance role. This is a creation role.
You will design and implement the systems, workflows, and processes that allow the business to scale efficiently. You will serve as the connective layer across pipeline, tooling, documentation, legal, and finance, ensuring everything runs smoothly as the company grows.
This role is best suited for someone who thrives in ambiguity, builds from zero to one, and takes full ownership of outcomes.
What You Will Own
Operational Framework
- Build and own the operational foundation as the company scales
- Design workflows that scale from early-stage through growth
- Act as the central coordination point across internal functions
- Identify and resolve bottlenecks before they impact execution
Tooling and Systems
- Own and optimize the AI-first tool stack across the business
- Build and maintain internal documentation including SOPs and decision logs
- Implement reporting systems that provide real-time visibility into performance and pipeline health
Supplier and Pipeline Operations
- Own supplier acquisition from initial outreach through execution
- Coordinate onboarding, assessments, and agreements across all partners
- Maintain CRM accuracy as the single source of truth for all pipeline activity
Business Operations
- Oversee day-to-day coordination across finance, legal, vendors, and compliance
- Manage external partners including legal counsel and vendors
- Ensure all contracts, records, and documentation are current and organized
- Identify operational risks and proactively implement solutions
- Lead pipeline reporting cadence and weekly operational reviews
Hiring and Team Operations
- Oversee hiring pipelines across all roles as the company scales
- Ensure sourcing, screening, and interview processes are moving efficiently
- Build onboarding systems that enable new hires to ramp quickly and effectively

- Core processes are documented and repeatable within the first 90 days

Qualifications
- 3 to 5 years of experience in operations, ideally within an early-stage or high-growth environment
- Demonstrated ability to manage multiple workstreams simultaneously
- Experience building or improving operational processes
- Familiarity with AI tools or strong technical adaptability
- Experience managing pipelines, vendors, or B2B operations is preferred
- Bachelor’s degree preferred
