Job Summary:

The Volunteer Coordinator serves as the vital link between hospice patients, their families, and our dedicated volunteers across multiple office locations. This role is responsible for developing, promoting, and optimizing our volunteer programs, ensuring seamless support for patient care and maximizing the impact of our volunteer resources. This position requires strong leadership, organizational skills, and a commitment to fostering a positive and engaged volunteer community.

The essential job functions include, but are not limited to the following:

  • Volunteer Program Management & Development:
    • Multi-Office Coordination: Manages and supports volunteer programs and volunteers across one or more office locations, ensuring consistency and adherence to agency standards.
    • Strategic Program Development: Collaboratively develops, promotes, and maintains comprehensive volunteer programs that align with the agency's mission and patient care needs.
    • Policy & Compliance: Ensures consistent execution of and adherence to all established policies specific to the volunteer program. Maintains full compliance with all local, state, and federal laws and regulations related to volunteer recruitment, training, and retention, including Medicare Conditions of Participation.
    • Resource Maximization: Identifies and implements strategies to maximize volunteer resources to meet patient and family needs as outlined in the Plan of Care.
  • Recruitment, Onboarding & Placement
    • Targeted Recruitment: Designs and implements innovative strategies to recruit a diverse pool of new volunteers through various channels, including speaking engagements, presentations, community outreach, and online platforms.
    • Efficient Onboarding: Ensures timely and compliant onboarding of all new volunteers, including thorough background checks, health screenings, and comprehensive orientation, to facilitate quick placement.
    • Volunteer Placement: Coordinates and provides appropriate volunteers to meet patient needs, ensuring the agency meets or exceeds the 5% volunteer requirement as set forth by Medicare Conditions of Participation.
  • Volunteer Engagement & Retention
    • Relationship Management: Cultivates and maintains strong, positive relationships with current volunteers, serving as their primary point of contact and support.
    • Documentation & Communication: Accurately maintains comprehensive documentation of current volunteers, assignments, contact information, and hours, and communicates this information effectively to relevant stakeholders.
    • Engagement Activities: Plans and executes events and initiatives designed to foster volunteer engagement, appreciation, and continued commitment to the program.
    • Public Relations: Establishes and nurtures public relations programs to build strong working relationships with volunteers, community partners, and the general public, enhancing the agency's reputation.
  • Collaboration & Administration
    • Interdisciplinary Team (IDT) Liaison: Acts as the primary liaison between the hospice IDT and volunteers, effectively communicating patient/family needs and volunteer availability.
    • Administrative Support: Collaborates with IDT and administrative personnel to continuously enhance the volunteer program and promote the Agency's philosophy to ensure quality patient care.
    • Other Duties: Carries out other duties as assigned by the Manager of Volunteer Services or IDT.

Job Qualifications:

  • Education: High school diploma or GED is required; bachelor’s degree from an accredited college or university in a relevant field (e.g., Non-Profit Management, Human Resources, Communications, Business Administration) is preferred.
  • Experience: Minimum of 2-3 years of experience in volunteer recruitment, management, or program development. Experience managing volunteers across multiple locations is highly preferred. Experience working in hospice, healthcare or social service setting is desired.
  • Skills: Good interpersonal skills and a passion for volunteerism. Must be able to read and write English. Excellent verbal and written communication skills, with the ability to deliver engaging presentations and recruitment pitches. Proven ability to build and maintain strong, effective relationships with diverse individuals, including interdisciplinary team (IDT) members, volunteers, patients, families, and the wider community. Ability to learn hospice volunteer regulations and EMR system for documentation. If required to make visits, need proof of Hepatitis profile. Needs valid CPR and Tb testing/screening.
  • Transportation: Reliable transportation. Valid Texas Driver’s License required. Proof of valid Texas Automobile Liability Insurance required.

Environmental and Working Conditions:

This role primarily operates in an office environment, playing a crucial part in ensuring the efficient functioning and coordination of agency activities to deliver the highest level of professional patient care. The position requires a flexible schedule and the ability to travel locally between multiple office locations, with occasional exposure to various weather conditions.

Physical and Mental Effort:

The position requires prolonged sitting and the ability to travel. It demands the capacity to handle stressful situations with a calm and courteous demeanor, working effectively under pressure to meet deadlines and agency needs.

Criminal History: Must pass background check.
