Position Summary
The Receptionist serves as the first impression of the company and plays a critical role in maintaining a professional, efficient, and well-organized front office. This position requires a highly capable and detail-oriented individual who can confidently interact with homeowners, builders, contractors, and vendors while supporting internal operations.
Key ResponsibilitiesClient Experience & Front Office Management
- Greet and assist clients, builders, contractors, and vendors with a high level of professionalism
- Manage incoming calls and direct inquiries accurately and efficiently
- Provide clear, confident communication regarding products, services, and general timelines
- Maintain a clean, organized, and polished showroom and front office environment
Administrative & Operational Support
- Coordinate and schedule consultations, site measurements, and service appointments
- Maintain accurate customer records, job files, and internal documentation
- Manage mail, deliveries, and general office organization
- Provide direct administrative support to sales and operations teams
Sales & Project Coordination Support
- Assist with quotes, order entry, and invoice preparation
- Communicate with customers regarding order status, timelines, and updates
- Coordinate across sales, production, and installation teams to ensure alignment
- Help identify and flag delays, errors, or missing information before they become issues
Communication & Problem Solving
- Act as a communication hub between departments
- Handle customer questions and minor issues with professionalism and efficiency
- Escalate complex situations appropriately while maintaining a calm and solutions-focused approach
Qualifications
- High school diploma required; additional education or relevant experience preferred
- 2 years of receptionist, administrative, or customer-facing experience preferred
- Strong organizational skills with the ability to multitask in a fast-paced environment
- Excellent verbal and written communication skills
- Proficiency in Microsoft Office and ability to learn internal systems quickly
Language Requirement
- Fluent in both English and Spanish (required)
- Must be able to communicate professionally and confidently in both languages with customers, contractors, vendors, and internal teams
Preferred Experience
- Experience in construction, manufacturing, or window and door industry
- Experience working with builders, contractors, or trade professionals
- Familiarity with scheduling, order tracking, or project coordination
