SUMMARY OF FUNCTIONS:
The Assistant Administrator is a working leadership role responsible for supporting the operational, regulatory and administrative functions of the PPECC. This position ensures:
- Ongoing survey readiness
- Accuracy in daily census, attendance, and billing -related documentation
- Organization and compliance of all administrative systems
- Coordination of non-clinical operations

MAJOR DUTIES AND RESPONSIBILITIES:
- Compliance & Survey Readiness
- Maintain all regulatory binders
- Ensure center is survey-ready at all times
- Track expiration dates, postings, and required documentation
- Prepare materials for audits and licensing visits
- Draft corrective actions for leadership review
- Daily Census, Attendance & Billing Compliance
- Maintain accurate daily census and attendance records
- Ensure all patient in/out times are complete and correct
- Validate attendance
- Prepare and verify documentation for billing submission
- Identify and escalate discrepancies to leadership
- Census and attendance accuracy are considered compliance and revenue-critical functions
- Operational Coordination
- Support daily center workflow and organization
- Maintain logs
- Coordinate admissions documentation and patient records
- Support multi-center readiness initiatives
- Administrative Execution Responsibilities
- This is a working leadership role, and the position retains responsibility for administrative execution tasks including:
- Preparing admission packets and maintaining patient files
- Managing forms, logs, and documentation systems
- Tracking staff education and required documentation
- Preparing communication materials for families and staff
- Maintaining signage, boards and operational postings
- Supporting daily opening/closing procedures
- Assisting with supply tracking and organization
- QAPI & Safety Tracking
- Maintaining logs
- Track follow-up items from QAPI
- Role Boundaries
- Does not supervise or discipline clinical staff
- Does not override Director of Nursing decisions
- Does not engage in leadership discussions with staff outside scope
- Must route concerns through appropriate leadership channels
- Must maintain professionalism and composure at all times
- Able to maintain high level of confidentiality
- Recruiting/staffing experience
- Team oriented
- Excellent organizational and time management skills
- Experience in health care arena a plus
- Proficient in Microsoft Office
- Full-time hourly
- Monday - Friday, generally 7:30am-5:00pm or as needed based on operational needs
- Must be available during center operating hours and accessible after hours for urgent matters

- High School Diploma or GED required
- Associate's or Bachelor's degree in healthcare administration, business, or related field preferred
- Minimum of 2 years of administrative or operational experience required
- Experience in a healthcare, pediatric, or childcare setting strongly preferred
- Experience in supporting compliance, documentation or regulatory processes preferred
- Familiarity with EMR systems and Microsoft Office Suite required
